Commercial Property Administrator (Retail & Industrial)
We are seeking a mid-level Commercial Property Administrator to support the Property Management team overseeing retail and industrial properties. The role involves administrative support, tenant relations, operational coordination, and lease compliance to ensure high property performance and tenant satisfaction.
The ideal candidate should be organized, detail-oriented, proactive, with a solid understanding of commercial leases, vendor management, and property operations.
Key Responsibilities
- Administrative and Tenant Support
- Prepare, track, and manage tenant correspondence (notices, memos, default letters, rent reminders).
- Assist with lease administration, including tracking expirations, renewals, and maintaining lease abstracts.
- Maintain tenant files (electronic and paper), including insurance certificates, leases, amendments, and compliance documents.
- Respond promptly to tenant inquiries and coordinate with Property Managers.
- Process move-in/move-out documentation and coordinate access and onboarding.
- Monitor lease compliance, flag issues, and prepare notices under guidance.
Financial and Reporting Support- Review and track vendor invoices; assist with budgets and expense forecasts.
- Support monthly reporting, tenant arrears, and occupancy data updates.
- Coordinate tenant chargebacks and operating cost recoveries.
Operational Coordination- Schedule inspections, maintenance, and repairs.
- Liaise with service providers and monitor work orders.
- Support day-to-day operational needs with onsite managers.
Lease Compliance Support- Track insurance certificates and send renewal notices.
- Monitor operational compliance (hours, signage, alterations).
- Draft compliance notices and assist with default notices.
Qualifications
- 3–5 years in commercial property administration, preferably retail or industrial.
- Strong knowledge of leases, compliance, and property management.
- Familiarity with building systems (HVAC, plumbing, fire safety) is a plus.
- Proficient in Microsoft Office; experience with property management systems (Yardi, MRI) preferred.
- Excellent communication skills in English and French (bilingualism required for Quebec).
- Strong organizational and multitasking skills.
- Ability to work independently and collaboratively.
