Our interdisciplinary team including physicians, nurse practitioners, registered nurses, physiotherapists, occupational therapists, dietitians, and massage therapists works together with one clear mission: to keep residents healthy, active, and comfortable in their own homes.

About The Role

The Clinic Operations Coordinator is responsible for organizing, scheduling, and supporting the day-to-day operations of Perennial clinics across multiple homes. This role ensures providers have what they need to deliver exceptional care, and that homes remain informed, supported, and aligned with Perennial’s standards.

Responsibilities
Scheduling & On-Site Logistics
  • Maintain the master schedule for NPs and allied-health providers across all active homes.
  • Distribute monthly schedules and operational updates to home leadership, frontline staff, and Perennial internal teams.
  • Coordinate provider onboarding into new homes, including badge access and clinic room setup.
  • Ensure equipment, supplies, signage, and branded materials are stocked and deployed appropriately.
Clinic Operations & Support
  • Serve as the primary operational point of contact for day-to-day issues at each home.
  • Track attendance, coverage gaps, and appointment flow; elevate issues to leadership as needed.
  • Support execution of clinical protocols, workflows, and operational quality standards.
  • Assist with new clinic launches, set-ups, and process implementation.
Communication & Relationship Coordination
  • Maintain smooth communication between home staff, Perennial’s clinical team, and head office.
  • Support change management when rolling out new programs, services, or workflows.
  • Build strong operational relationships with retirement residence partners.
Data Tracking & Reporting
  • Track and report monthly clinic utilization metrics (volume, capacity, care mix).
  • Support KPI monitoring, dashboard updates, and operational reporting deadlines.
  • Identify operational bottlenecks and recommend improvements to enhance efficiency and resident access.
Marketing & Events
  • Coordinate logistics for marketing activations, resident education events, and provider engagement initiatives.
  • Ensure correct placement of marketing materials and clinic signage across all homes.
Qualifications
  • 1–3 years of operations coordination or scheduling experience — healthcare or startup environment is preferred.
  • Strong communication and relationship-building skills — able to work with clinicians and partner staff professionally.
  • Highly organized with exceptional time-management skills across multiple locations.
  • Proficiency with scheduling tools, EMRs, spreadsheets, and workflow software.
  • Ability to problem-solve and maintain calm in fast-changing operational environments.
