Qualifications

  • Healthcare administration or clinic management experience.
  • Strong leadership, communication, and problem-solving skills.
  • Knowledge of Ontario primary care, OHIP billing, privacy, and compliance.
  • Experience with staffing, budgeting, and operational reporting.
  • Experience working in a Family Health Organization (FHO) clinic is an asset.
  • Comfort with EMRs, including Accuro, and Microsoft Office.
  • Ability to manage changing priorities in a fast-paced environment.
  • A commitment to building a positive and inclusive clinic culture.

Responsibilities

  • Oversee daily clinic operations, patient flow, staffing, and room allocation.
  • Monitor clinic expenses, staffing ratios, inventory, and KPIs.
  • Identify workflow gaps and implement improvements.
  • Maintain a clean, safe, welcoming clinic environment.
  • Ensure WELL policies and regulatory requirements are followed.
  • Recruit, onboard, schedule, coach, and support clinic staff.
  • Manage attendance, vacation requests, timecards, and coverage.
  • Promote cross-training, accountability, and team engagement.
  • Support performance management and address staff concerns.
  • Coordinate physician schedules, coverage, rooms, and onboarding.
  • Support EMR access, billing setup, supplies, and clinic workflows.
  • Act as the main contact between physicians, staff, and corporate teams.
  • Support physician recruitment, retention, and practice growth.
  • Maintain a positive patient-focused experience.
  • Monitor wait times, appointment access, and patient flow.
  • Address patient concerns and escalate serious issues.
  • Oversee OHIP and private billing; monitor rejected claims, AR, and reconciliation.
  • Track clinic performance and create improvement action plans.
  • Manage clinic supplies, equipment, and exam-room readiness.
  • Coordinate repairs, maintenance, and vendor support.
  • Report EMR, IT issues; support new systems and improvements.
  • Maintain privacy, IPAC, health and safety, and College requirements.
  • Support incident reporting, audits, and corrective actions.
  • Protect patient confidentiality and appropriate EMR access.
  • Provide MOA coverage when needed.
  • Answer phones, greet/check-in patients, schedule appointments.
  • Manage referrals, forms, faxes, and patient records.
  • Collect payments and support OHIP and private billing.

Position Summary

We are looking for a highly capable and motivated Clinic Manager who combines leadership and operational management with front-line administrative and nursing support. This unique role is ideal for someone with a clinical background (e.g., as an MOA or nurse) who is ready to take on broader responsibilities, including managing clinic performance, leading a team, and ensuring a high standard of care and service delivery.

Key Responsibilities
Clinic Management
  • Oversee daily clinic operations, patient flow, staffing, and room allocation.
  • Monitor clinic expenses, staffing ratios, inventory, and operational KPIs.
  • Identify workflow gaps and implement improvements.
  • Maintain a clean, safe, and welcoming clinic environment.
  • Ensure WELL policies and regulatory requirements are followed.
Team Leadership & HR
  • Recruit, onboard, schedule, coach, and support clinic staff.
  • Manage attendance, vacation requests, timecards, and coverage.
  • Promote cross-training, accountability, and team engagement.
  • Support performance management and address staff concerns.
Physician Support
  • Coordinate physician schedules, coverage, rooms, and onboarding.
  • Support EMR access, billing setup, supplies, and clinic workflows.
  • Act as the main contact between physicians, staff, and corporate teams.
  • Support physician recruitment, retention, and practice growth.
Patient Experience
  • Maintain a positive and patient-focused clinic experience.
  • Monitor wait times, appointment access, and patient flow.
  • Address patient concerns and elevate serious issues when required.
Billing & Reporting
  • Oversee accurate and timely OHIP and private billing.
  • Monitor rejected claims, accounts receivable, and payment reconciliation.Track clinic performance and prepare operational reports.
  • Create and follow up on action plans for areas below target.
Facilities & IT
  • Manage clinic supplies, equipment, and exam-room readiness.
  • Coordinate repairs, maintenance, cleaning, and vendors.
  • Report and follow up on EMR, phone, printer, and other IT issues.
  • Support new systems and clinic improvement projects.
Compliance & Safety
  • Maintain privacy, IPAC, health and safety, and College requirements.
  • Support incident reporting, audits, and corrective actions.
  • Protect patient confidentiality and appropriate EMR access.
Administrative (MOA) Support
  • Provide MOA coverage when needed.
  • Answer phones, greet and check in patients, and schedule appointments.

You Bring
