Job summary

Ford Keast Wealth Management is hiring a Client Service Associate in Ontario. You will support our Financial Planning Associate and Certified Financial Planner, coordinating client meetings and documentation to deliver an exceptional client experience.

The role involves handling onboarding, account paperwork, and ongoing client communications within a trusted, long-established practice that values collaboration, accuracy, and client-first service.

Qualifications

  • Experience in Wealth Management or public accounting is an asset.

Responsibilities

  • Deliver exceptional client service by responding to inquiries and coordinating communications.
  • Coordinate and schedule meetings with clients and internal stakeholders.
  • Provide administrative and operational support to the Associate and the Financial Planner.
  • Prepare and organize client meeting materials and onboarding documentation.
  • Support client onboarding, account setup, and ongoing communications.
  • Maintain accurate and confidential client records across systems.
  • Assist with preparation of financial planning, investment, retirement, tax, and estate planning documents.
  • Generate reports and provide administrative support to advisory and accounting teams.
  • Perform general administrative duties and data entry.

Position Duties:
  • Deliver exceptional client service by responding to client inquiries and coordinating communications in a professional and timely manner.
  • Coordinate and schedule meetings with clients and internal stakeholders, ensuring a seamless client experience.
  • Provide administrative and operational support to Associate and the Financial Planner in the delivery of wealth management services.
  • Prepare and organize client meeting materials, onboarding documentation, account paperwork, and other required client files.
  • Support the client onboarding process, including account setup, documentation follow-up, and ongoing client communications.
  • Maintain accurate and confidential client records, ensuring data integrity and consistency across systems.
  • Process client requests and transactions, while monitoring progress and providing regular updates to clients.
  • Assist with the preparation of financial planning, investment, retirement, tax, and estate planning documentation and reports.
  • Support compliance and regulatory requirements by maintaining accurate records and documentation.
  • Liaise with internal teams, custodians, investment partners, insurance providers, and other third-party service providers as required.
  • Generate reports and provide administrative support to the broader advisory and accounting teams.
  • Perform general administrative duties, including correspondence management, document preparation, filing, and data entry.
  • Contribute to a collaborative, client-focused culture and support continuous improvement initiatives.
  • Undertake additional duties and special projects as assigned.
Requirements:
  • Excellent communication skills, both written and verbal
  • Strong organizational skills, attention to detail and accuracy in data entry and recordkeeping
  • Ability to manage multiple tasks and prioritize effectively in a fast-paced environment
  • Strong problem-solving skills and the ability to handle client inquiries and issues efficiently
  • High level of professionalism and ability to maintain confidentiality
  • Ability to work collaboratively with internal and external stakeholders
  • Basic understanding of financial planning and investment processes
  • Graduate of a University or College Administrative program, or equivalent
  • Experience in a Wealth Management or public accounting Firm, an asset
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, SharePoint)
  • Experience with various third-party software applications such as Doc.it, DocuSign, Caseware, and Custodian Portals considered an asset

We offer competitive compensation based on experience, along with a comprehensive benefits package, including:

Salary: $50,000 – $65,000 based on experience
