Lifeease Financial Solutions Inc. specializes in comprehensive financial planning for both personal and business clients. We assist clients with a range of services, from starting as new investors to multi-generational estate planning. Based in Ottawa, Ontario, we serve the greater Ottawa area through in-person appointments and offer virtual services to clients.

Role Description

We are seeking a Client Experience Coordinator to work together with our advisor team and our back office. This is a high-impact, highly visible role for someone who thrives at the intersection of client relationships, event management, and team leadership. You will have real ownership over how we engage with clients, shape the events and communications that bring our brand to life, and lead the team that keeps our practice running smoothly.

What you will do
Client Experience & Service Model
  • Design, implement, and continuously improve our client touchpoint service model, ensuring every client receives a consistent, high-quality experience at every stage of the relationship.
  • Own our client segmentation and outreach schedule, coordinating closely with advisors to ensure all touchpoints are timely, personalized, and meaningful.
  • Track client engagement and proactively identify gaps or opportunities to strengthen our service delivery.
Client Events & Communications
  • Take the lead on planning and executing all client-facing events, including client appreciation events, educational seminars, and virtual webinars. Taking the lead from concept through post-event follow-up.
  • Manage all event logistics: venue, invitations, materials, third-party coordination, and attendee communication.
  • Collaborate with advisors on client newsletters, presentations, and other outreach materials that reflect our brand voice and investment philosophy.
Team Leadership & Office Operations
  • Manage and lead the back office team, providing clear direction, coaching, and accountability to support a high-performing culture.
  • Oversee day-to-day office operations and administrative workflows, ensuring the practice runs efficiently and in compliance with regulatory requirements
  • Serve as the primary coordination point between advisors and support staff, proactively resolving bottlenecks and improving internal communication.
Practice Growth & Development
  • Support advisors with CRM management, meeting preparation, and follow-up tracking to help grow and retain our book of business.
  • Contribute to the development of new processes and initiatives as the practice scales.
  • Assist with compliance-related administrative tasks and documentation as required.
Qualifications
  • Experience in financial services, wealth management, or a professional services environment
  • Demonstrated experience planning and executing events or client programs.
  • Experience leading, managing, or mentoring a team.
  • Excellent written and verbal communication skills — you can adapt your tone for clients and colleagues alike.
  • Strong organizational skills and the ability to manage multiple priorities without missing details.
  • Proficiency with CRM tools and the Microsoft Office suite; familiarity with Salesforce or similar platforms is an asset
  • LLQP or/and mutual fund license is expected to be held before or shortly after joining
  • A working knowledge of financial advisory and wealth management products is a significant asset.
