Job summary

Autism Services is seeking an organized administrator to maintain accurate records of meetings and council resolutions, and to support recording and scheduling of council meetings and events.

You will coordinate logistics, travel arrangements, and internal/external communications while upholding privacy and confidentiality. Proactive individuals with strong attention to detail and teamwork will thrive in this role.

Qualifications

  • Post-secondary training or certification in office administration or business administration.
  • Ability to take and synthesize minutes; audio typing preferred and accurate typing skills.
  • Professional attitude when dealing with staff, membership, the public and external agencies.
  • Strong attention to detail and accuracy; be resourceful and show initiative.
  • Excellent time management, organizing skills and effective prioritization of duties.
  • Ability to take direction, work independently and in a team environment.
  • Excellent written and oral communication skills.
  • Well developed computer skills with Microsoft Office, Adobe Acrobat DC Pro, and video meeting tools (Zoom, Teams, Google Meet).
  • Knowledge of First Nation culture and traditions is an asset.

Job description

DUTIES AND RESPONSIBILITIES:
Maintain consistent, accurate records of meeting minutes and supporting documentation, as well as a chronology of Council resolutions and communications of Council resolutions.
Assist with recording and coordinating Councils meetings and events schedules all in both a physical and digitally accessible formats.
Assist with the coordination of meeting and event logistics when requested including assisting with Council travel arrangements, arranging for facilities and other meeting resources.
Correspond internally with Directors and managers, and as directed, with partner organizations and other external resources to assist in maintaining consistent, reliable Council communications.
At all times, maintain the privacy and confidentiality of any, and all organizational information, particularly information obtained through both internal and external meetings.
Show initiative in enhancing the management, recording and processing of the records of Council business to achieve efficiency and effectiveness
QUALIFICATIONS AND SKILLS:
