Job summary

Rocky Mountain School District No. 6 is seeking an Administrative Assistant to handle reception, clerical and record-keeping tasks in a busy school office. The role requires independence, discretion with confidential information, and the ability to manage diverse duties for staff, students and the public.

The position is permanent and full-time (35 hr/wk), effective August 21, 2026, with pay at $31.16/hour under Collective Agreement 440. First aid is considered an asset.

Qualifications

  • High school diploma or equivalent required.
  • Office Administration Certificate plus one year of specific experience or equivalent mix.
  • One to two years of accounting, bookkeeping and office admin experience in a computerized environment.

Responsibilities

  • Receive and greet visitors; manage front reception.
  • Prepare, respond to correspondence and assist with newsletters.
  • Schedule appointments and maintain records for ministry reporting.
  • Handle cash receipts, statements, and bank deposits.
  • Process mail and operate office equipment; support purchasing.
  • Maintain positive relationships with staff, students, parents and public.
  • Occasional student supervision when needed.

Job description

Rocky Mountain School District No. 6 is now accepting external applications for:

Administrative Assistant

Permanent, full-time (35 hr/wk)

Effective August 21, 2026.

The Administrative Assistant is responsible for the reception, clerical, secretarial and record keeping work of considerable variety and complexity in the operation of a school office. This position requires independence of judgment and action in dealing with the public, staff and students on a variety of matters relating to school operations.

Examples of Work
  • First point of contact for all school visitors
  • Compose and respond to correspondence as required (including school newsletter).
  • Schedule appointments.
  • Prepare and photocopy a variety of materials.
  • Prepares, processes and maintains records, as delegated, relating to the operation of the site and as necessary for Ministry reporting purposes (including 1701s, first aid/injury reports, and student records).
  • Perform clerical work relating to material and service purchasing.
  • Collect cash, issue receipts, prepare cash statements, keep accounts to trial balance and bank reconciliation, and bank deposits.
  • Process incoming and outgoing mail (internal and external).
  • Operate a variety of office equipment.
  • Maintain a positive working relationship with school staff/students/parents/public.
  • Provide occasional student supervision in the absence of supervisor.
  • Perform other duties as assigned.
Required Knowledge, Abilities And Skills
  • Proficient skill of Microsoft Office Suite or equivalent and related Student Information Systems (SIS).
  • Keyboarding skills of 60 words per minute or proof of competency in keyboarding skills.
  • Have experience with current office equipment and be able to adapt to technological changes.
  • Knowledge of Business English, punctuation, spelling and Business Math.
  • Have training and/or experience in office procedures.
  • Possess the ability to perform basic accounting.
  • Ability to work under limited supervision.
  • Ability to use discretion when dealing with confidential matters.
  • Ability to be adaptable to unpredictable situations.
  • Ability to work well with students, parents, school staff and other district personnel.
  • Ability to multi-task, prioritize, meet deadlines and deal with interruptions.
Required Training, Experience And Certification
  • High school Diploma or Equivalent
  • Office Administration Certificate plus one year of specific experience or an equivalent combination of training and experience.
  • One to two years of recent and relevant experience in accounting, bookkeeping and office administration in a computerized environment, ideally in a large school setting.
  • First Aid would be an asset.
Rate of pay

$31.16/hr, as per Collective Agreement 440
