Care Coordinator Manager – Lifemark Health Group

Location: Lifemark Physiotherapy Main West & Longwood, 875 Main Street W., Hamilton, ON, L8S 4P9

The Care Coordinator Manager is responsible for ensuring the smooth daily operations of a clinic, overseeing both front and back-end activities for patients and staff. The role works closely with a Clinic Director/Manager or Business Lead and may supervise other administrative or support staff. Responsibilities include following standard administrative procedures, ensuring accurate and timely revenue and cash receipts reconciliation, and providing administrative support to patients and staff.

Qualifications & Core Competencies:

  • High School Diploma, G.E.D., or equivalent
  • 1-5 years of experience in a clinical or similar environment
  • Current enrollment or graduation from a college diploma program in a related field (asset)
  • Excellent customer service skills and telephone etiquette
  • Strong organizational skills with the ability to prioritize and multitask
  • Self-starter with the ability to work independently and collaboratively
  • Ability to thrive in a busy, fast-paced environment
  • Proficient in MS Office (Word & Excel)
  • New graduates are welcome to apply

Primary Responsibilities:

  • Create a welcoming and warm environment for patients
  • Handle customer and patient inquiries and complaints effectively
  • Manage reception area
  • Maintain Accounts Receivable
  • Accurately process incoming payments and reconcile monthly deposits
  • Ensure timely, accurate, and complete entry of patient data in the Lifemark Patient System
  • Submit forms to insurance companies and stakeholders promptly
  • Process and control expenses and petty cash
  • Obtain and promote GMB reviews; coach staff accordingly
  • Manage accounting controls and reporting
  • Oversee payroll, ensuring accuracy, communication, and deadlines
  • Manage clinic operations and administration
  • Adhere to all company protocols
