Job summary

Health Association Nova Scotia (HANS) is seeking a Program Assistant for the CCA RPL pathway on a 12-month contract to support admissions, progression milestones, and stakeholder communications. You will manage inquiries, maintain accurate records, assist with reporting and ongoing program improvements, and help coordinate meetings and projects.

The successful candidate will have a post-secondary diploma in a related field (or 5 years of equivalent experience) and strong skills in organization,

We’re excited to announce a new opportunity for a CCA RPL Program Assistant (12-Month Contract)as we continue to grow and expand our team.

Position Scope:

The Program Assistant supports the CCA Program’s Recognition of Prior Learning pathway by coordinating day-to-day administrative, operational, and stakeholder-facing activities. The role manages applicant and participant inquiries, screens documentation, supports admissions and progression milestones, maintains accurate records, assists with reporting and funding processes, and provides timely communication to applicants, employers, educators, internal team members, and external partners. The position also supports meetings, workflow documentation, process improvements, and related program projects to help ensure participants move through the RPL pathway efficiently and consistently.

Requirements and Qualifications:
  • Post-secondary diploma in administrative, business, education, or a related field; or a minimum of five years’ experience in a comparable administrative or program support role.
  • Equivalent combinations of education and experience will be considered.
  • Experience in admissions, registration, program administration, student services, college programming, employer support, RPL, or a similar environment.
  • Strong communication, customer service, organization, and stakeholder support skills, with the ability to respond professionally to applicants, employers, partners, and internal team members.
  • Ability to manage a high volume of emails, calls, applications, and competing priorities in a fast-paced environment.
  • Ability to interpret and apply policies, procedures, eligibility criteria, and documentation requirements consistently and accurately.
  • Experience maintaining spreadsheets, tracking tools, reports, participant records, and program data with a high degree of accuracy.
  • Proficiency with Microsoft Office, Outlook, Excel, CRM systems, SharePoint, and related information management tools.
  • Comfort supporting meetings, projects, and working groups, including preparing agendas and materials, documenting follow-up items, and assisting with reports and updates.
  • Ability to work independently, exercise sound judgment, maintain confidentiality, and escalat...
  • Experience with reporting, data tracking, stakeholder communication, process coordination, or program improvement is considered an asset.
  • Knowledge of the continuing care sector, CCA programming, or Recognition of Prior Learning processes is considered an asset.
