Job summary

Lifemark Health Group in the Atlantic Region (Nova Scotia) is seeking a Care Coordinator to support administrative operations within a multidisciplinary clinic.

The role focuses on patient intake, data entry, scheduling, payments, and coordinating communications to ensure accurate records and smooth clinic workflow.

You will work with a friendly team, uphold Lifemark’s core values, and help deliver high-quality patient care in a dynamic healthcare environment.

Qualifications

  • High School Diploma or equivalent; post-secondary education in Medical Office Administration is an asset.
  • Strong organizational and multitasking skills in a fast-paced environment.
  • Excellent verbal and written communication and customer service skills.
  • Proficient in Microsoft Office; EMR/Case Management experience is an asset.
  • Flexible, adaptable and responsive to changing priorities.
  • Ability to work independently and as part of a team.
  • Experience in a physiotherapy or multidisciplinary healthcare clinic is a strong asset.

Responsibilities

  • Deliver front-desk experience by handling calls and greeting patients.
  • Coordinate accurate patient intake and maintain up-to-date records.
  • Assist patients with completing documentation for accuracy and completeness.
  • Schedule appointments and manage patient records efficiently.
  • Collect payments at time of service and submit insurance claims to funders.
  • Perform data entry and billing per clinic procedures.
  • Manage communications including mail, courier, and fax.
  • Provide administrative support to the Care Coordinator Manager and Clinic Director.

Care Coordinator

Location: Atlantic Region - Nova Scotia

Status: Temp-Part Time

The Care Coordinator is responsible for fostering a strong relationship between the clinic and its customers, including patients, staff, funders and referral sources. This is achieved by efficiently providing administrative support and coordinating clinic activity with friendly, enthusiastic and professional service with all patients, team members and external customers. The Care Coordinator is responsible for all aspects of patient intake, data entry, answering the phone, outbound calling, receiving faxes and emails, as well as invoicing and payments.

Primary Responsibilities
  • Deliver a professional front-desk experience by managing calls, greeting patients, and addressing inquiries
  • Coordinate accurate patient intake and maintain up-to-date records throughout treatment
  • Assist patients with completing documentation to ensure accuracy and completeness
  • Schedule appointments and manage patient records efficiently
  • Collect payments at time of service and submit insurance claims to third-party funders
  • Perform data entry and billing in accordance with clinic procedures
  • Manage incoming and outgoing communications, including mail, courier, and fax
  • Provide administrative support to the Care Coordinator Manager and Clinic Director
Qualifications & Core Competencies

The ideal candidate will have:

  • High School Diploma or equivalent required; post-secondary education in Medical Office Administration or related field is an asset
  • Strong organizational and multitasking skills in a fast-paced environment
  • Excellent communication (verbal and written) and customer service skills
  • Proficient in computer systems, including Microsoft Office Suite; previous experience with EMR/Case Management systems considered an asset
  • Flexible, adaptable, and responsive to changing priorities
  • Ability to work both independently and collaboratively as part of a team
  • Previous experience in a physiotherapy or multidisciplinary healthcare clinic is considered a strong asset
