Job summary

Cyclic Materials in Ontario, Canada seeks a Capital Procurement Coordinator to drive procurement activities from requisition to delivery. You will ensure documentation, ERP transactions, vendor communications, and reporting are accurate and timely to keep capital projects moving.

You will join an expanding procurement team, improve workflows, and help standardize templates while coordinating with engineering and manufacturing teams on documentation and milestones.

Qualifications

  • 2–5 years of procurement, project coordination, or supply chain experience.
  • Strong organizational skills and attention to detail.
  • Experience using ERP systems, incl. D365 and Excel.
  • Capital project exposure and manufacturing background are a plus.
  • Proactive communicator and able to adapt to changing priorities.

Responsibilities

  • Issue RFQs and purchase orders and maintain procurement records.
  • Coordinate vendor documentation and monitor delivery milestones.
  • Support procurement planning meetings and track action items.
  • Coordinate engineering documentation and approvals.

Cyclic Materials is building a resilient circular supply chain for rare earth elements and other critical materials. Through our proprietary MagCycle and REEPure processes, we recover rare earths from end-of-life products and transform them into high purity materials used in the production of permanent magnets. Position Overview

The Capital Procurement Coordinator supports the successful execution of capital projects by coordinating procurement activities from requisition through delivery. This role ensures procurement documentation, vendor communications, ERP transactions, and project reporting are executed accurately and efficiently.

The coordinator serves as the operational backbone of the Capital Procurement team, allowing sourcing specialists to focus on commercial strategy while ensuring projects continue moving forward.

As the Capital Procurement organization grows, this role will also participate in improving procurement workflows, documentation standards, and reporting processes.

Responsibilities
Procurement Administration
  • Issue RFQs and purchase orders.
  • Maintain procurement records within D365.
  • Coordinate vendor documentation.
  • Track procurement milestones.
  • Maintain procurement logs and reporting dashboards.
Expediting
  • Monitor vendor delivery commitments.
  • Follow up on manufacturing progress.
  • Coordinate logistics updates.
  • Escalate schedule risks.
Project Coordination
  • Support procurement planning meetings.
  • Maintain action item registers.
  • Coordinate engineering documentation.
  • Track approvals and commercial documentation.
Vendor Support
  • Assist with vendor onboarding.
  • Coordinate vendor information.
  • Support commercial correspondence.
  • Maintain vendor records.
Process Improvement
  • Identify opportunities to improve procurement workflows.
  • Help standardize templates and documentation.
  • Support ERP improvements.
  • Assist in developing procurement metrics.
Qualifications
  • 2–5 years of procurement, project coordination, or supply chain experience.
  • Strong organizational skills.
  • Excellent attention to detail.
  • Experience using ERP systems.
  • Strong Microsoft Excel skills.
  • Industrial or manufacturing experience.

Pay Range

$54,000 - $72,000 CAD
