Job summary

Our client in Surrey, BC seeks a Business Services Manager to provide temporary leadership across school retail, purchasing, food services, and facilities rentals. The role will involve managing inventories, vendor relationships, and reporting while coordinating with staff, parents, and external partners.

Responsibilities include overseeing the uniform shop, major purchasing initiatives, contract negotiations for food services, and facility rental administration in a school setting.

Qualifications

  • Experience in business operations, purchasing, or related field.
  • Strong vendor/supplier management experience.
  • Familiarity with inventory and POS systems a plus.
  • Solid financial and administrative skills with invoicing and reporting.
  • Excellent communication and stakeholder management.

Responsibilities

  • Oversee Uniform Shop and retail operations and manage inventory, pricing, and reporting.
  • Lead purchasing and vendor management across furniture and school needs; identify cost-saving opportunities.
  • Manage food services relationship, contracts, events, and ordering platform.
  • Coordinate facilities rentals, calendars, and rental invoicing with Finance.

About Our Client

Our client is a well-established independent K–12 educational institution located in the South Surrey/White Rock area. They are seeking an experienced and adaptable Business Services Manager to provide temporary support across several business operations that contribute to the school's educational, social, and community activities. This is a unique, hands‑on role that combines retail operations, purchasing, food services, facilities rentals, vendor management, and financial administration. The successful candidate will interact regularly with school staff, parents, students, volunteers, and external service providers, making strong communication and customer service skills essential.

Position Details

Job Type: Temporary | Duration: Ongoing | Start Date: ASAP | Location: South Surrey / White Rock, BC | Schedule: School hours | Compensation: $40–$45 per hour | Work Arrangement: On‑site | Industry: K–12 Education

Responsibilities
  • Uniform Shop & Retail Operations
    • Support the day-to-day operation of the school uniform and merchandise shop, including processing transactions and assisting with student fittings.
    • Manage inventory levels, costing, and inventory accuracy.
    • Administer the retail point-of-sale system and maintain accurate data and reporting.
    • Recruit, schedule, train, and support parent volunteers.
    • Build and maintain relationships with suppliers and negotiate pricing.
    • Coordinate special orders, athletic uniforms, apparel, merchandise, and other products.
    • Develop and improve operating procedures and recommend related policies.
  • Purchasing & Vendor Management
    • Oversee purchasing of major furniture and other school requirements.
    • Identify suppliers, negotiate pricing, select products, and monitor quality.
    • Assist with requests for proposals and purchasing initiatives.
    • Manage the disposal of surplus goods and equipment.
    • Resolve material and supply issues with vendors and internal departments.
    • Identify opportunities for cost savings and operational efficiencies.
  • Food Services
    • Manage the relationship with the school's food services provider.
    • Support contract negotiations and oversee effective and efficient food service operations.
    • Act as the primary school liaison for catered events and food service matters.
    • Investigate and resolve complaints or service issues.
    • Monitor food service operations and ensure applicable health and safety requirements are followed.
    • Administer the online food ordering and funding system, including menus, user accounts, orders, and account funding.
    • Provide operational and financial information and reporting.
    • Troubleshoot and resolve parent/student issues related to the online ordering platform.
  • Facilities Rentals
    • Coordinate with school leadership regarding the use of school facilities by external organizations.
    • Prepare and maintain facility rental agreements.
    • Maintain the school calendar with facility rental bookings.
    • Coordinate with the Finance team to ensure rental invoices are issued accurately and on time.
    • Obtain certificates of insurance and applicable not‑for‑profit/charitable documentation as required.
  • General Business Operations
    • Support the planning and promotion of business services.
    • Provide professional and responsive service to staff, parents, students, volunteers, vendors, and external organizations.
    • Identify opportunities to improve processes, service delivery, and operational efficiency.
    • Perform other duties and special projects as required.
Qualifications
  • Previous experience in business operations, office management, purchasing, retail operations, hospitality, facilities, or a related field.
  • Strong experience managing vendors, suppliers, purchasing, or service providers.
  • Experience with inventory management and point-of-sale systems is an asset.
  • Strong financial and administrative skills, including the ability to work with invoices, purchasing information, and operational reporting.
  • Excellent communication and interpersonal skills, with the ability to interact professionally with staff, parents, students, and external partners.
  • Strong customer service and problem‑solving abilities.
  • Excellent organizational and time‑management skills with the ability to manage multiple priorities.
  • Comfortable working in a hands‑on, client‑facing environment.
  • Strong attention to detail and ability to maintain accurate records.
  • Proficiency with Microsoft Office and business/administrative systems.
  • Ability to work independently while collaborating effectively with various departments and stakeholders.
  • Experience in an educational environment is an asset but not required.
  • CPA designation is not required.
