Job summary

Stream-Flo Industries Ltd. is seeking an experienced Office Administrative professional in Alberta to coordinate vehicle records, onboarding for technicians, and payroll timekeeping.

You will manage ERP-driven invoicing, purchasing, and filing, while supporting service orders and daily clerical tasks in a collaborative team. The ideal candidate brings 3–5 years of administration experience, proficiency in MS Office, and strong communication and organizational skills.

Qualifications

  • High School diploma required; Office Admin diploma preferred.
  • 3–5 years of office/business administration experience.
  • Invoicing and reconciling experience is preferred.
  • Basic Wellhead product knowledge is a plus.
  • Proficient in MS Word, Excel, PowerPoint, Access and Outlook; SAP knowledge beneficial.

Responsibilities

  • Coordinate and maintain vehicle records, including inspections, insurance and maintenance.
  • Assist in organizing logbooks, inspections and technician reports.
  • Onboard and maintain customer site access for Service Technicians.
  • Maintain safety records and training documentation.
  • Enter and verify timekeeping in payroll; work with payroll for processing.
  • Assist with service orders, customer property chargebacks and invoicing.
  • Process sales orders and AP/AR in ERP; support invoicing.
  • Receive goods and create branch purchase orders; manage GL allocations.
  • Reconcile fuel receipts and branch PO payables.
  • Review systems and contribute to process improvements.
  • Handle incoming calls and filing within ERP systems.

Job description

Key Position Functions:
  • Coordinate and maintain all records for vehicles, including inspections, insurance, maintenance, and statements within vehicle tracking software.
  • Assist in organizing record keeping of daily logbooks/inspections and reports by service technicians.
  • Assist and/or manage the onboarding and maintenance for customer site entry access for all Service Technicians.
  • Maintain safety records and ensure related training is recorded appropriately.
  • Enter and confirm time keeping within the payroll system accurately and work closely with payroll department for time processing requirements.
  • Assist with service orders and Customer Property charge backs as required.
  • Ensure proof of delivery and complete all sales orders within the ERP system and required Invoicing processes with the accounts receivable department.
  • Assist with the creation of sales orders from Field FX to invoice completion.
  • Receive incoming goods as required.
  • Create Branch purchase orders for daily Branch expenses while maintaining accuracy with GL allocation for Branch.
  • Reconcile fuel receipts and Branch purchase orders for payables.
  • Actively involved in reviewing current systems and process improvement.
  • Answer incoming calls to the facilities and direct as required.
  • All related filing and record keeping within the facility and associated ERP systems.
  • Perform other related duties as required.
Preferred candidates will possess a combination of the following:
  • High School diploma, supplemented by an Office Administration Diploma.
  • 3 to 5 years office/business administration experience.
  • Invoicing and reconciling experience preferred.
  • Basic Wellhead product knowledge preferred.
  • Computer proficiency using MS Office applications (Word, Excel, PowerPoint, Access, Outlook); knowledge of SAP software.
  • Strong communication (oral and written), interpersonal, organizational and time management skills.
  • Ability to work effectively in a team and independently environment.
  • Accuracy and attention to detail.
