Position Summary

The Booking Manager will support the Booking Team in the scheduling, planning, and contracting of live events at Hamilton Arena, FirstOntario Concert Hall, and The Studio. This role provides essential administrative and operational assistance across the booking process, helping to manage calendars, contracts, internal communications, and industry relationships.

The ideal candidate is detail-oriented, highly organized, and passionate about live entertainment. This is a great opportunity for a motivated individual looking to build a career in event programming and venue management within a dynamic, fast-paced environment.

This role pays an annual salary of $52,500-$62,500 CAD.

This position will remain open until July 25, 2025.

Responsibilities
  • Maintain and update internal event calendars, holds, avails, and booking trackers in coordination with internal departments.
  • Manage internal show files and create event offers, deal memos, contracts, and insurance certificates when required.
  • Track deadlines for contract execution, deposits, and other time-sensitive milestones.
  • Liaise with internal teams (marketing, operations, finance, ticketing) to ensure accurate event details are up to date and communicated effectively.
  • Provide administrative support to the Senior Director of Booking, including calendar management, scheduling meetings, and document preparation.
  • Assist in conducting market research, competitive analysis, and talent avail checks to support programming strategy.
  • Help prepare presentation materials and recaps for internal reporting and external meetings.
  • Pursue new rental opportunities when required with potential corporate and community clients.
  • Support onsite event needs as required, including hosting and promoter/client servicing.
  • Represent the venue with professionalism when interfacing with agents, promoters, artists, and other external partners.
  • Attend industry events and meetings as needed to foster growth and awareness of booking practices and trends.
Qualifications
  • 3-5 years of experience in live event programming or venue operations.
  • Strong organizational and time-management skills with acute attention to detail.
  • Excellent interpersonal, verbal, and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint); experience with booking or event management systems (e.g., Momentous, VenuePro) is an asset.
  • Demonstrated ability to work independently and collaboratively in a fast-paced, high-volume environment.
  • Ability to manage sensitive information with professionalism and discretion.
  • Passion for live entertainment, concerts, and the performing arts.
  • Availability to work evenings, weekends and on event days as required.
