Job description

Billing Administration Assistant - Tax Document Requests

Office Administration / Tax Document Requests

Remote Full-time or part-time
28.00-29.50 per hour

Customers may ask for a tax receipt, invoice copy, or another billing document without using the organization's exact terminology. The Billing Administration Assistant - Tax Document Requests identifies what they are requesting, checks the available online record, and sends the question to the team authorized to prepare or release it. This remote role is administrative. You will not give tax advice, determine a customer's deduction, or create a document that has not been approved.

A message saying "I need this for taxes" may refer to several different records. Read the context and ask an approved clarifying question if needed. Check the account and relevant period before routing. If the requested document already exists and your access permits delivery, follow the recipient verification and secure channel rules. If a special statement needs to be generated, leave that task with the billing owner. Do not tell the customer that a document meets a particular tax requirement.

Customer service matters in the clarity of your reply: explain what information the team needs and what happens next. Office administration matters in matching the request with the correct account, date range, and owner. A good handoff allows billing to work without asking the same basic question again. Protect private financial details and keep copies in approved systems.

A customer might ask for "a tax receipt" when they need a paid invoice, a tax breakdown or a different document. Ask the focused clarification allowed by the employer and identify the account before routing the request. Some documents require verification or an authorized billing person to produce them. Do not create figures from transaction history or interpret a customer's tax position. Record what was requested, the period involved and which team received it. This combines customer service with careful office administration so the billing owner can answer without asking for the same information again.

The work
  • Read assigned online requests for billing-related tax documents.
  • Identify the document and date range the person appears to need.
  • Match the question to the correct account under approved checks.
  • Ask for a required detail without requesting unnecessary information.
  • Route special documents and advice questions to billing specialists.
  • Send an existing approved copy only when authorized.
  • Record the request, delivery, or pending owner accurately.

An accounting background is not expected. Customer service, office administration, or document-handling experience is useful, and the employer can train a beginner on its document types and secure delivery procedure. You should be comfortable with dates, careful recipient checks, and stating the boundary of what you can answer.

A private home office or suitable workspace supports billing records. The company will confirm actual hours and software.

A document request may arrive from an accountant, an assistant, or another third party. Do not assume that an external address has authority to receive a customer's financial record. Use the employer's recipient checks and route unusual requests to the billing owner. If the customer asks for several years of documents, confirm the periods and what the system actually provides before saying the request is complete.

Some items may need a different department, such as payroll or charitable receipting. The hiring company will supply a routing guide. Your role is to identify the right owner and preserve the customer's question, not to claim that every tax-related record is an invoice. A precise status note makes it easy to follow up when a specialist prepares the document later.

A request may need a confirmation of the customer's mailing or email preference for secure delivery. Follow the company's verification steps without asking for a full personal history. If a document for the requested period is not yet available, keep the task pending with the owner. Do not generate a substitute spreadsheet and call it an official receipt. A clear reply can state that the question has been sent to the billing team and identify the next administrative step the process permits you to share.

To be considered

A relevant example may be clarifying a vague document request and sending it to the right person. It can come from employment, education, or a volunteer role. No tax qualification is needed for this routing position. If the team moves your application forward, it may ask you to complete another form on the company's website. The billing team will explain which documents are involved.
