Hrstalentsolutions in Canada is seeking a Supporting File Intake Clerk for a remote, part-time role in customer service and office administration. You will locate the original service request, attach files in the approved system, and mark them ready for the reviewer.
You may work from a private home office; schedule and system access will be confirmed by the employer. Emphasis on careful handling of documents, privacy, and accurate filing.
Office Administration: Additional File Receipt
Remote position | Full-time or part-time | 22.25-23.75 per hour
A customer has already submitted a service form and later sends an additional photo or document. The Supporting File Intake Clerk finds the original online request, attaches the file through the approved system, and records that it is ready for the reviewer. This is part‑time remote work in customer service and office administration. You will not decide what the new document proves or change the outcome of the request.
A private home office or equivalent workspace is suitable for customer documents. The employer will confirm schedule and system access.
An email may include only an attachment and a first name. Follow the employer's matching procedure before placing it in a case. If the file belongs to several related requests, flag that uncertainty. A new attachment can also replace an unreadable older one; note which version the customer says is current. Keep the original receipt date and history visible under the company's rules.
You may send a brief acknowledgement that the material was received, but do not say it has been accepted or reviewed unless that step actually occurred. If an attachment will not open or has an unsupported format, use the approved request for a better copy. Avoid downloading private customer files to a personal device. The goal is for the reviewing team to see the relevant material without forcing the person to submit an entire new form.
A customer may submit a second file without a case number, or send an attachment that appears to belong to a different request. Use the permitted identifiers to connect the file before confirming receipt against a case. If it cannot be opened or the required page is missing, describe that specific problem through the approved channel. Receipt does not mean a reviewer has accepted the contents. Preserve the original upload and timestamp so a colleague can see what arrived and when. This is practical online office administration and customer service at an introductory level.
A background checking incoming documents can help, and beginners will receive the same training. Training will cover file handling, matching rules, privacy, and status labels. You should be comfortable with online forms and careful enough to leave an uncertain match unresolved.
A file may arrive by a different channel than the original form. Check the customer's approved reference and contact details before attaching it. If a new photo appears to belong to another person, leave it in the secure review path and alert the owner. Do not force it into the first similar case you find. If the reviewer has already made a decision, the new material may need a different route; record its arrival and ask how the team wants it handled.
The customer may ask whether the document is sufficient. You can confirm that it was received and, if allowed, that it opens, but the qualified reviewer decides whether it meets the requirement. If the file has several pages, check that all pages are present under the employer's intake checklist. A later correction should be labeled as the newest submission without hiding the earlier one. At the end of a shift, leave a list of attachments awaiting a match or replacement. A useful handoff prevents a customer's response from sitting unseen in an inbox while their case appears incomplete.
If the file arrives after a stated deadline, record its actual receipt time and let the reviewer decide the effect. Do not backdate it to make the case look complete.
A relevant example may be matching a later document to an earlier request without mixing up the files. School and volunteer records can provide useful experience. You do not need specialist knowledge of the documents. Applicants asked to continue may need to apply through the hiring company’s website. The intake team will explain its file process.
