CBI Health is seeking a Bilingual Talent Onboarding Coordinator to facilitate a smooth onboarding process for new hires. As a Bilingual (French/English) Talent Onboarding Coordinator, you’ll serve as the primary point of contact for new hires from offer acceptance to their first day, ensuring a smooth, welcoming, and fully compliant onboarding journey. You'll work closely with our Talent Acquisition, HR, Payroll, and IT teams, ensuring all employment documentation is accurate and complete while keeping stakeholders informed and supported throughout the process.
About the Opportunity
Reporting directly to the Talent Onboarding Manager, you’ll be part of a collaborative national team that supports the onboarding of new hires across the organization. Your role will be essential in ensuring compliance, data accuracy, and a seamless candidate experience that reflects CBI Health’s commitment to excellence in care and workplace culture.
Take an Inside Look at Your Day-to-Day Responsibilities
· Serve as the primary point of contact for new hires after they accept an offer, providing timely updates, answering onboarding questions, and guiding them through next steps to ensure a positive and informed experience.
· Verify and track Conditions of Employment/Agreement (COEs/COAs) to confirm all required documents are submitted, accurate, and compliant.
· Coordinate background screenings and reference checks using our third-party provider, ensuring results are returned and followed up on in a timely and confidential manner.
· Collaborate cross-functionally with internal teams such as Talent Acquisition, Payroll, HRIS, and IT—as well as external vendors—to align onboarding milestones and resolve any barriers to onboarding.
· Review essential employment documents to validate information and ensure they meet legal and company standards.
· Update and maintain candidate records within ServiceNow, ensuring all notes and status changes are clear, accurate, and aligned with onboarding service level agreements (SLAs).
· Ensure onboarding processes are aligned with CBI Health policies, funder requirements, and provincial employment standards.
· Coordinate orientation scheduling to ensure new hires are registered for the appropriate session without delay.
· Champion process improvements to enhance the pre-boarding and onboarding experience.
· Create and maintain digital employee profiles by uploading required documentation to the Applicant Tracking System (ATS) and Human Resource Information System (HRIS), ensuring data integrity.
· Serve as a CBI Health brand ambassador, delivering a welcoming and professional experience that reinforces us an employer of choice.
Here’s What You’ll Need to Be Successful
· Bilingual in French and English—both written and verbal communication skills are required
· Post-secondary education in Human Resources, Business Administration, or related field (an asset)
· A minimum of 1year of administrative or recruitment support experience (preferred)
· Strong attention to detail and ability to manage multiple priorities
· Proficiency with computer systems and data management tools
· Ability to work independently and collaboratively
· A customer-service mindset and proactive problem-solving approach
