Job summary

Gameloft Montreal is seeking an Audio Operations Coordinator to keep the Audio Department running smoothly behind the scenes. You will ensure Creative Audio Directors and project teams always have timely paperwork and up-to-date documentation.

Qualifications

• Experience in a coordination/administrative or operations support role.
• Experience in game industry, entertainment, or creative production is a plus.
• Familiar with Jira, Confluence, SharePoint; calendar/scheduling tools.
• Comfortable with PO, invoices, approval processes and working with stakeholders.
• Clear, tactful written and spoken communication; able to follow up persistently.

Responsibilities

• Prepare, submit and follow up on purchase orders and invoices from vendor onboarding through to completion.
• Manage approval workflows, tracking each request until it clears.
• Act as liaison with Legal, Finance, Procurement and other stakeholders on contracts, NDAs, talent agreements and licensing paperwork.
• Maintain administrative best practices for the department: templates, naming, processes and record keeping.
• Own the upkeep of the department's knowledge spaces; keep Jira boards tidy and up to date.
• Coordinate meetings, agendas and follow-ups; capture decisions and actions.
• Support onboarding of new team members and external collaborators.
