Job summary

RPIA is hiring a full-time Associate, Client Relations in Toronto to provide essential operational and administrative support, ensuring accuracy and a seamless client experience.

You will coordinate onboarding, transactions, KYC, CRM updates in Salesforce, and recurring client reporting, collaborating with fund administrators and service providers to enable scalable growth and strong client engagement.

Qualifications

  • Degree or diploma in Business Administration, Finance, or a related field.
  • Minimum of two years of experience in an administrative, operations, client service, or financial services support role.
  • Experience working with CRM systems and document management platforms, with strong attention to data accuracy and recordkeeping.
  • Proficiency in Microsoft Office; Salesforce or similar systems is an asset.

Responsibilities

  • Onboard clients by coordinating all administrative aspects of the onboarding process, ensuring timely and accurate documentation.
  • Coordinate preparation, collection and processing of client transaction documentation.
  • Provide client service support by preparing materials, coordinating meetings, and following up on inquiries.
  • Assist with KYC documentation and records to support regulatory and firm requirements.
  • Maintain accuracy of client information in Salesforce and document interactions.
  • Compile and distribute recurring client reports with accurate data and timeliness.
  • Liaise with internal teams and service providers for account setup and issue resolution.
  • Identify process improvements to enhance efficiency and reduce operational risk.

Job description

We are currently seeking a full-time permanent Associate to join our Client Relations team. As an Associate in the Client Relations, you will be responsible for providing high-quality operational and administrative support to the Client Relations team, ensuring accuracy, efficiency, and a seamless client experience. You will help maintain data integrity, support operational excellence, and reduce administrative risk. Reporting directly to the Manager of Client Relations, your role will be essential in ensuring smooth day-to-day operations, supporting scalable growth, and enabling the Client Relations team to focus on client engagement and relationship management.

The duties and responsibilities of the Associate, Client Relations include but are not limited to:
  • Client Onboarding: Coordinates all administrative aspects of the client onboarding process, including account setup, documentation preparation, record maintenance, and system updates. Ensures client information is accurately captured, documentation is completed in a timely manner, and onboarding requirements are fulfilled to support a seamless client experience.
  • Transaction Administration & Documentation: Coordinates the preparation, collection, and processing of client transaction documentation. Ensures documentation is complete and accurate, monitors transaction progress, and works with internal and external stakeholders to facilitate timely and efficient transaction processing.
  • Client Service Support: Supports the Client Relations team in delivering a high-quality client experience by preparing client materials and meeting packages, coordinating meeting logistics and follow-ups, tracking requests and action items, and ensuring timely resolution of administrative inquiries.
  • KYC Administration: Assists with the preparation, maintenance, and tracking of KYC documentation and records, ensuring information is updated accurately and in a timely manner to support regulatory and firm requirements.
  • CRM Maintenance: Maintains the accuracy and integrity of client information within Salesforce by updating client records, documenting client interactions, managing account-related data, and ensuring information is complete, current, and properly recorded to support reporting and client service activities.
  • Recurring Reporting: Compiles and distributes recurring standardized client reporting materials and supporting documentation ensuring accuracy, consistency, and timely delivery, while maintaining distribution lists and tracking delivery timelines to support effective client communication and service delivery.
  • Cross-Functional Coordination: Liaises with internal teams, fund administrators, custodians, and service providers to support account setup, transaction processing, exception requests, and issue resolution.
  • Process Improvement Support: Supports the continuous enhancement of operational processes and administrative workflows by identifying efficiencies and contributing to initiatives that improve the client and team experience, enhance scalability and reduce operational risk.
  • Additional Support: Performs other duties as required.

  • Problem-Solving & Initiative – Identifies potential issues proactively, escalates and helps resolve in a timely manner through effective communication and follow up with the relevant stakeholders.
  • Communication – Communicates clearly and professionally both verbally and in writing when working with clients, internal stakeholders, and external service providers.
  • Accountability – Takes ownership of assigned responsibilities, follows through to completion, and takes pride in the quality of work provided.
  • Teamwork – A reliable collaborator who values a team-first approach and is willing to pitch in wherever support is needed.
Requirements
  • Degree or diploma in Business Administration, Finance, or a related field.
  • Minimum of two (2) years of experience in an administrative, operations, client service, or financial services support role.
  • Experience working with CRM systems and document management platforms, with strong attention to data accuracy and recordkeeping.
  • Strong proficiency in Microsoft Office, including Excel, Word, and Outlook; experience with Salesforce or similar systems is considered an asset.
  • Knowledge of investment operations, account administration, or client onboarding processes is considered an asset; proficiency in French is considered an asset.
