Position Summary

The Assistant Manager, Training Data & Systems helps ACI Global Training use reliable information to make decisions and keeps the team's learning and operational systems running smoothly.

The role brings together three practical areas: maintaining accurate data, producing clear reports and insights, and providing day‑to‑day support for the learning management system (LMS) and other departmental tools. The successful candidate will also help improve recurring processes and reduce unnecessary manual work.

This is a hands-on, collaborative role. You will work with colleagues in Global Training and partner teams such as Finance and IT, as well as external vendors when needed. You will not be expected to build enterprise systems or solve every technical issue alone.

What You Will Do
Keep Our Data Reliable and Well Organized
  • Maintain the department's central data repository and keep key information accurate, current, and consistently structured.
  • Bring together data from the LMS, financial reports, and other operational sources for regular reporting and analysis.
  • Complete routine data checks and reconciliations, investigate discrepancies, and work with colleagues to resolve issues at the source.
  • Maintain clear data definitions, historical records, reporting snapshots, and practical documentation.
  • Handle departmental information with appropriate care, confidentiality, and attention to access requirements.
  • Prepare and improve recurring reports and dashboards for operational teams and departmental leadership.
  • Review enrollment, delivery, financial, customer, and operational data to identify meaningful trends, gaps, risks, and opportunities.
  • Support forecasting and planning by providing clear comparisons, explanations, and practical insights.
  • Respond to reasonable ad hoc reporting requests and help colleagues understand what the information means.
  • Present findings clearly to colleagues with different levels of technical knowledge and flag important changes that may require attention.
Support Our Systems and The Users
  • Help administer the LMS and other departmental systems, including user access, roles, course or session setup, licences, and assigned configuration tasks.
  • Provide first-line help for common data, reporting, access, and system questions, escalating technical issues to IT or vendors when appropriate.
  • Support system updates and approved enhancements by gathering requirements, testing changes, and checking that solutions work as expected.
  • Maintain straightforward procedures and user guidance, and help colleagues become confident using departmental tools.
Improve How We Work
  • Look for practical ways to simplify recurring reporting and administrative processes.
  • Help standardize workflows and introduce appropriate automation, with suitable testing and documentation.
  • Support departmental technology and data projects as a knowledgeable business user and operational partner.
  • Gather feedback and use it to improve the usability, accuracy, and efficiency of reports, tools, and processes.
What You Bring
  • A post-secondary qualification in data analytics, business administration, information systems, finance, operations, or a related field - or equivalent practical experience.
  • Experience working with data, reports, dashboards, or operational information in a business environment.
  • Confidence using spreadsheets, reporting, or database tool.
  • Experience checking data quality, reconciling information, and producing accurate recurring reports.
  • The ability to organize competing requests, meet regular deadlines, and follow issues through to resolution.
  • Clear written and verbal communication, including the ability to explain data and system matters in plain language.
Helpful, but Not Essential
  • Experience administering an LMS or another configurable business system.
  • Experience with Airtable, dashboard tools, workflow automation, system testing, or process documentation.
  • Experience working with financial, customer, training, or learning-program data.
How You Work
  • You are curious and analytical, but also practical: you enjoy finding the reason behind a number and turning it into a useful next step.
  • You care about accuracy and notice details without losing sight of the wider business purpose.
  • You enjoy bringing order to information, improving everyday processes, and helping colleagues use systems with confidence.
  • You communicate openly, collaborate well, and know when to ask for input or elevate an issue.
  • You are comfortable learning new tools. We do not expect you to arrive as an expert in every platform listed in this description.

If this role interests you but your experience does not match every point above, we still encourage you to apply. Relevant strengths and the ability to learn matter as much as familiarity with every individual tool.
