Job summary

This role starts ASAP for 3 months with potential for extension and is fully in-office downtown.

Responsibilities:

  • Assist new applicants in understanding licensing/certification requirements and processes under diverse legislation
  • Receive and process eligibility and application forms
  • Coordinate receipt of inspection reports, insurance, and corporate status information
  • Review documentation for completeness and request additional information when necessary
  • Problem-solve with stakeholders to obtain approvals and coordinate timelines
  • Perform data entry and image capture for new facilities
  • Ensure renewal license packages are generated and processed
  • Enter data and capture images using relevant systems
  • Verify data entry for Licensing Inspectors
  • Ensure compliance with insurance, corporate status, and collateral approvals
  • Provide information to funding bodies as required
  • Maintain electronic and paper filing systems
  • Respond to public inquiries and provide assistance
  • Draft correspondence and perform word-processing tasks
  • Assist with administrative duties such as mail distribution and meeting room bookings
  • Perform FOIP searches and assist with record production
  • Maintain unit information on SharePoint sites

Requirements:

  • Strong organizational and communication skills
  • Ability to handle confidential information with discretion
  • Proficiency in the Microsoft Office suite
  • Familiarity with licensing processes and regulations is a plus
  • Minimum 2 years of Administrative experience (experience in the Government of Alberta is an asset)
  • Customer service experience is also an asset
