Alumni Engagement Officer, University Relations

University Relations is responsible for institutional advancement programs (Development, Strategic Communications, Alumni Relations and Operations and Services), and as such is dedicated to supporting the related needs of all colleges, units and the university as a whole. University Relations is comprised of specialized teams that work together as an integrated team to ensure that the University of Saskatchewan has the reputation, relationships and resources necessary to take its place among the most distinguished universities in Canada and the world.

Alumni and Strategic Engagement provides leadership for alumni engagement strategies, programs and services to encourage and foster a sense of community and connection among graduates, and to strengthen the relationship between the university and our alumni. We engage our alumni through a variety of programs, events, volunteerism, affinity programs, and recognition programs. The office also serves as the corporate home for the University of Saskatchewan Alumni Association, a not-for-profit organization representing more than 180,000 alumni worldwide.

Primary Purpose

The Alumni Engagement Officer is responsible for developing, implementing, and evaluating alumni engagement programs, within their dedicated portfolio, designed to support alumni engagement priorities and the mission, vision, and values of the University of Saskatchewan. As a part of the Alumni and Strategic Engagement team, this position is integral to building alumni affinity, deepening relationships and engagement, and advancing philanthropic support of the university.

Nature of Work

Reporting to the Associate Vice President, Alumni and Strategic Engagement, the Alumni Engagement Officer is responsible for a portfolio of alumni engagement programs focused on advancing the objectives of the University Relations strategic plan. Program areas include, but are not limited to, student engagement, young alumni engagement, regional engagement, volunteer engagement, reunions, mentorship, and alumni recognition. As the lead on defined engagement programs, the incumbent will meet outcomes that deepen alumni engagement and support institutional advancement goals while reflecting the mission, vision, and values of the university.

As a member of the Alumni and External Engagement team, the Alumni Engagement Officer will work collaboratively with professionals within University Relations, as well as other advancement professionals across our campuses, to provide structure to alumni engagement across the university. The incumbent will develop partnerships and strong working relationships required to develop and deliver a suite of engagement programs and activities, within their assigned portfolios, intended to deliver measurable results. The incumbent will also develop and steward relationships with alumni and supporters of the university in order to facilitate programs and activities that align with strategic goals, cultivate loyalty, promote connectedness within the alumni community, and deepen alumni involvement with the university.

The Alumni Engagement Officer will work in a dynamic, fast-paced, innovative, and highly collaborative environment with numerous concurrent projects and competing deadlines. The incumbent is required to be motivated, innovative, client focused, results-oriented, and a highly effective relationship builder and team player. Consequence of error is significant for the university and its reputation and relationships with stakeholders. Occasional evenings and weekends and some travel is required.

Alumni Engagement Programs
  • Develop alumni engagement streams that will connect alumni to alumni, alumni to the university, and alumni to students.
  • Develop, implement, and evaluate a comprehensive suite of alumni engagement programs and activities designed to deepen engagement with a focus on building measurable philanthropic support for the university.
  • Develop annual goals and objectives and evaluate efforts in support of Alumni Relations priorities.
  • Analyze and apply market data to support the development of effective engagement programs and activities.
  • Work collaboratively with colleagues, colleges, schools, special interest and regional networks in the development and delivery of engagement programs and activities to advance philanthropic support of the university in our local, national, and international communities.
  • Provide expertise and guidance on alumni engagement principles and practices to support colleagues and partners across campus in achieving their alumni engagement goals in alignment with the priorities of the Alumni and Strategic Engagement office.
  • Responsible for ongoing evaluation to assess the effectiveness of engagement programs and activities in support of engagement priorities with a focus on ongoing adaptation and improvement.
  • Manage program budgets and ensure financial transactions and information is accurately recorded and maintained.
  • Work with Communications professionals in the development of comprehensive communications plans to support the goals and objectives of engagement programs and activities while upholding the reputation of the university.
  • Ensure volunteer opportunities are incorporated in alumni engagement programs and activities and always uphold an exemplary level of volunteer stewardship.
  • Develop operating procedures to support alumni engagement programs and activities.
  • The incumbent will value the input and ideas of the USask Alumni Advisory Board in the development and adaptation of engagement programs and activities.
Partnerships and Relationship Building
  • Develop and steward cross-campus partnerships to strengthen a culture of engagement and philanthropy while creating opportunities for alumni engagement, with a focus on deepening engagement, in the service of the university.
  • Build and manage alumni relationships while working closely with development professionals to identify donor prospects.
Data Integrity and Confidentiality
  • Ensure alumni information is captured accurately and timely in the database in accordance with University Relations operating procedures for reporting and relationship management purposes.
  • Commit to protecting the privacy and confidentiality of personal information by demonstrating the highest level of ethical principles when working with confidential information in compliance with the policies and guidelines of the university’s Access and Privacy Office and in adherence to appropriate legislation.
Education

Education: Bachelor’s degree required, master’s degree or other advanced education strongly preferred. An appropriate level of training and experience may be considered.

Experience
  • Five to seven years of relevant experience in stakeholder engagement, managing programs, events, budgets, and/or volunteers, or an equivalent combination of education, training, and experience.
  • Understanding of engagement principles, strategies and proven experience in application.
  • Proven ability to develop programs, use data to make decisions, analyze results, and turn recommendations into action.
  • Experience in developing relationships with a variety of stakeholder groups.
  • Experience working in a post-secondary or similarly complex environment is an asset.
  • Knowledge of the University of Saskatchewan’s culture, issues, priorities and stakeholders would be an asset.
