Job summary

Shriners Hospitals for Children – Canada is seeking an Administrative Agent, Class 2 to support a busy Rehabilitation team with administrative and professional duties. You will handle secretarial tasks, office data management, and reporting, applying established methods and adapting as needed.

The role requires an AEC in administration or secretarial studies, at least two years’ experience, strong French communication skills, and proficiency with Microsoft Office.

Résumé du poste:

L’agent(e) administratif(ve), classe 2 assiste une équipe de travail dans leurs fonctions administratives et professionnelles. Elle accomplit un ensemble de travaux administratifs selon des méthodes et procédures complexes établies ou qu’elle modifie, selon les besoins. Elle exerce, de façon principale et habituelle, des attributions relatives au secrétariat, à l’utilisation de la bureautique ainsi qu’à l’élaboration et au traitement de dossiers ou de données nécessitant des connaissances spécifiques.

Principales responsabilités:

  • Accueillir la clientèle et l’enregistrement des usagers.
  • Rédiger des documents, correspondances et lettres personnalisées.
  • Mise à jour de registres et banques de données.
  • Rédiger des documents, correspondances, lettres personnalisées et autres en utilisant le publipostage, mise à jour de registres et banques de données.
  • Offre un support administratif au département par la prise d’appel téléphonique, l’entrée de données, la photocopie, télécopie et numérisation, commandes de matériel et autres.
  • Recueillir des données afin de mettre à jour les fichiers, d’organiser les informations et aider à assurer le bon fonctionnement du département.
  • Préparer de divers rapports, dont les rapports mensuels du conseil d’administration, rapport annuel, et rapport de dépenses.
  • Assurer un suivi des communications internes et externes.
  • Coordonner les réunions de département et les réunions de comités consultatifs.
  • Orienter le nouveau personnel de l’équipe.
  • Travailler et collaborer avec différents départements pour mener à bien certaines tâches.

Qualifications requises:

  • AEC en administration ou en secrétariat
  • Minimum de 2 ans d’expérience dans un rôle similaire
  • Expérience en service à la clientèle
  • Expérience en clinique ou dans le réseau de la santé (un atout)
  • Maîtrise du français à l’écrit et à l’oral ; la capacité à communiquer (l’écrit et à l’oral) en anglais est nécessaire pour soutenir ou collaborer avec des clients et/ou des parties prenantes anglophones
  • Posséder une bonne maîtrise de la suite Microsoft Office (Les candidats seront soumis à des tests administratifs)
  • Habiletés d’organisation et de gestion des priorités avec attention aux détails
