Job summary

Durham College in Oshawa seeks an Advancement Data and Analytics Officer to safeguard data quality in the donor and alumni records and to support fundraising analytics.

You will develop data standards, oversee gift processing with Finance, and build dashboards to inform campaigns. Experience with Raiser’s Edge/NXT and knowledge of CASL/FIPPA are valued.

This temporary replacement runs Oct 2026–May 2028 and offers a banded salary within the posted range.

Qualifications

Duties and Responsibilities:

The role is responsible for ensuring the accuracy, consistency, andcompliance of data within the advancement database (e.g., Raiser’s Edge)through the development of data standards, regular audits, and maintenance ofdonor, alumni, and gift records. This includes supporting segmentation,reporting, and adherence to privacy regulations such as CASL and FIPPA. Theposition oversees timely and accurate gift processing, reconciliation, andreceipting in collaboration with Finance, ensuring compliance with CRA andinstitutional policies. It also produces regular and ad hoc reports, developsdashboards, and provides analytical insights to track fundraising performance,identify prospects, and support stewardship efforts. In addition, the rolecontributes to donor relations by managing recognition and stewardshipactivities such as thank‑you letters, recognition lists, naming opportunities,and impact reporting. Collaboration across Advancement and Alumni teams is key,with a focus on streamlining workflows, training staff on CRM best practices,and exploring innovative technologies—including AI to enhance data managementand advancement operations. Data Management and Integrity:

• Maintain and enhance the accuracy, completeness, and consistency of data within the advancement database (e.g., Raiser’s Edge)
• Develop and enforce data entry standards, ensuring uniformity and data quality across records.
• Perform regular data audits, reconciliations, and updates to ensure integrity of donor, alumni, and gift records.
• Support database segmentation, list generation, and data analysis to inform fundraising, stewardship, and alumni engagement activities.
• Monitor and implement data privacy and protection best practices in alignment with institutional and legislative standards (e.g., CASL, FIPPA).

Gift Processing and Acknowledgement:

• Oversee timely and accurate recording of all philanthropic gifts and pledges.
• Coordinate with Finance to reconcile gifts, receipts, and deposits on a regular basis.
• Generate donor receipts and acknowledgements in accordance with CRA guidelines and institutional policies.
• Support staff in interpreting and applying gift processing and receipting policies.

Reporting and Analytics:

• Prepare regular and ad hoc reports to support fundraising progress, campaign tracking, and donor trends.
• Develop dashboards and performance metrics for development and alumni engagement activities.
• Provide analytical support to identify prospects, stewardshipopportunities, and donor patterns.
  

Donor Relations and Stewardship:

• Support the development and execution of stewardship processes, including thank‑you letters, recognition lists, and impact reporting.
• Assist in managing donor recognition programs, including naming opportunities.
• Maintain accurate records of donor recognition commitments and acknowledgements.

Collaboration and Process Improvement:

• Partner with Advancement and Alumni teams to streamline workflows and improve data-related processes.
• Provide training, guidance, documentation, and support for staff on data management and CRM use to ensure integrity of donor, alumni, and gift records.
• Stay current on emerging technologies and best practices in advancement services and donor relations.
• Explore integration of AI into data management practices.

Administrative Tasks:

• Support vacation tracking, meeting arrangements and logistics, and other office tasks if needed.

Qualifications:

• A minimum of a 3-year diploma/degree in business administration or a related field is required.
  
• Musthave five years of relevant work experience.
  
• Advanced proficiency with donor relationship management systems, preferably Raiser’s Edge, NXT, including data entry, reporting, queries, imports/exports and system maintenance.
  
• Strongknowledge of Canadian Revenue Agency (CRA) regulations and datagovernance.
• Experienceworking within a fundraising environment considered an asset, including workingdirectly with donors and/or customers.
  
• Must have strong analytical and quantitative skills.
• High degree of written and oral communication.
• Proven ability to effectively prioritize workflow with strong attention to detail.
• Ability to demonstrate sound judgment and discretion in handling confidential and sensitive information.
• Strong knowledge of Microsoft Office (Word, Outlook, Excel, PowerPoint).
