Job summary

Cor-Dent Dental Centre in Winnipeg is seeking an experienced dental office administrator to join our team. You will ensure smooth front desk operations, manage appointments, and handle patient communications with warmth and efficiency.

The ideal candidate has at least 1 year of admin experience, familiarity with dental software, and the ability to balance customer service with accurate record-keeping. This full-time role offers competitive pay and opportunities for career growth.

Qualifications

  • Minimum 1 year of administrator experience.
  • Clinical background considered an asset.
  • Experience with dental software preferred.
  • Candidates must be legally eligible to work in Canada.

Responsibilities

  • Make a positive and lasting impression on the patient from arrival to departure.
  • Optimize the appointment schedule to keep the day full with minimal gaps.
  • Manage all patient calls and inquiries with a smile: appointments, confirmations, amendments.
  • Handle cancellations and motivate patients to keep appointments.
  • Bill patients at the treatment room exit, process payments, and submit insurance claims.
  • Effectively manage the recall system and maintain the patient database.
  • Process referral letters and other patient correspondence from providers.
  • Manage and file all patient records and charts.
  • Demonstrate active listening and empathy with effective communication.

Schedule: Tuesdays - 8:45am-5:45pm, Wednesdays - 10:30am-7:30pm, Thursdays - 8:45am-5:45pm, Fridays - 8:30am-5:30pm, 2 Saturdays per month - 7:30am-2:30pm.

Responsibilities:
  • Make a positive and lasting impression on the patient, from the moment they arrive at the practice to the moment they leave
  • Responsible for optimizing the appointment schedule by ensuring the day is full, with limited gaps
  • Manage all patient calls and inquiries with a smile: appointments, confirmations, and amendments
  • Manage potential cancellations and overcome objections to motivate the patient to keep the appointment
  • Bill patients as they come out of the treatment room, take payment, send a claim form to insurance, respond to all fee inquiries in a positive manner
  • Effectively manage the recall system and accurately maintain the patient database
  • Process referral letters and other patient correspondence upon receipt from the provider
  • Manage and file all patient records and charts
  • Demonstrate active listening and empathy to patients using effective communication skills
About You:
  • Minimum 1 year of Administrator experience
  • Clinical background considered an asset
  • Experience with Dental software preferred
  • Candidates must be legally eligible to work in Canada
