Job summary

Air Canada in Montreal, QC, is seeking an organized Administrative Clerk for the Maintenance branch to support daily operations, onboarding, scheduling and reporting. This on-site role handles data entry, document control and confidential information with attention to accuracy.

You will manage office supplies, coordinate events, update staff calendars and generate KPI dashboards while liaising with internal and external customers.

Qualifications

  • High School graduation.
  • 1–3 years office/administrative/secretarial experience.
  • Proficient with Microsoft Office applications.
  • Excellent spelling, punctuation and grammar.
  • Strong interpersonal and communication skills.
  • Ability to produce clear written and verbal communications.
  • Attention to accuracy and detail.
  • Punctuality and dependability in a fast-paced environment.

Responsibilities

  • Manage office supplies, medical kits, punch cards and business cards.
  • Support onboarding and internal transfers; maintain staff changes.
  • Coordinate service anniversaries, team meetings and celebrations; arrange catering and decor.
  • Update staff schedules and address anomalies; canvass overtime and vacation bids.
  • Prepare daily, weekly and quarterly reports.
  • Oversee office equipment and IT support tickets.
  • Liaise with internal and external customers while maintaining confidentiality.
  • Provide staff with system and building access.
  • Assist with daily administrative tasks such as auditing, scanning and shipping.
  • Generate and monitor Key Performance Indicators.

Key duties
  • Manage office supplies, medical kits, punch cards & business cards, etc.
  • Support onboarding and internal transfers, maintain employee status changes (e.g., new hires, base transfers).
  • Coordinate service anniversaries, team meetings and employee celebrations; including catering orders, departmental decorations & celebration cards.
  • Update staff schedules and anomalies; including canvassing overtime, vacation bids & vacation schedules.
  • Prepare daily, weekly & quarterly reports.
  • Oversee office equipment (hardware, software & general office equipment), including raising and following IT/CRE support tickets.
  • Liaise with internal and external customers, maintain confidentiality, and independently organize and prioritize workload to meet deadlines under minimal supervision.
  • Provide internal and external customers with system & building access.
  • Support with daily administrative tasks (i.e. auditing, scanning, shipments, etc.).
  • Generate & oversee Key Performance Indicators.
Qualifications
  • High School graduation.
  • Minimum 1-3 years office/administrative/secretarial experience.
  • Proficient with Microsoft Office applications.
  • Proficiency in spelling, punctuation and grammar.
  • Good interpersonal skills.
  • Excellent communication skills both written and verbal, as well as formatting and proofreading skills.
  • Aptitude for accuracy and detail.
  • Demonstrate punctuality and dependability to support overall team success in a fast-paced environment.
  • This role may involve taking minutes, performing physical tasks like lifting or climbing.
  • Process improvement experiences, an asset.
