Job summary

Vancouver Coastal Health is seeking an Administrative Program Assistant at Heiltsuk Hospital in Bella Bella, BC. You will work as part of an interdisciplinary team, providing administrative and analytical support, coordinating calendars, taking minutes, and assisting with data collection and reporting.

Based in Bella Bella, you will support two Mental Health and Substance Use teams, with occasional travel to the other community.

Qualifications

  • Grade 12, graduation from a recognized secretarial program, plus three years' recent related experience or an equivalent combination of education, training and experience.
  • Typing speed of 45 words per minute with strong verbal and written communication.
  • Excellent ability to organize work, manage calendars and coordinate meetings.

Responsibilities

  • Coordinate workflow of the assigned area and support administrative and analytical program activities.
  • Type a variety of material, prepare correspondence, reports and presentations using advanced software.
  • Assist in data collection and generate reports; maintain timekeeping records for staff.

Job description

Come work as an Administrative Program Assistant with Vancouver Coastal Health (VCH) at Heiltsuk Hospital in Bella Bella, BC! Within the context of a client and family centered care model and in accordance with established vision and values of the organization, works as part of an interdisciplinary team to provide administrative and analytical program support. Coordinates the workflow of assigned area. Types a variety of technical and non-technical material, correspondence, reports and presentations utilizing advanced word processing, spreadsheet and presentation software. Assists in data collection, compiles and maintains a variety of statistical information for analysis and generates reports. Answers telephone and greets visitors, responding to general inquiries. Screens, prioritizes and redirects incoming and outgoing letter and electronic mail. Maintains calendars for team members, scheduling appointments and arranging meetings. Attends meetings to take minutes, types and distributes agendas and minutes, and follows up on action items. Creates various weekly lists/schedules and maintains timekeeping records for designated staff. Sets up and maintains filing systems.

About Bella Bella, Bc

Bella Bella is a beautiful island community off the central coast of British Columbia, 690 km north of Vancouver. It is surrounded by a magical world of channels, inlets and old growth forest. It is home to salmon, orcas, humpbacks, bald eagles and the other denizens of the Pacific Northwest. The climate is mild and the area is a paradise for kayaking, sport fishing, hiking and photography.

The Heiltsuk Hospital in Bella Bella has 7 acute beds, 7 long term care beds and a 4-bed emergency department open 24/7, along with Laboratory and Diagnostic Imaging services. It offers telehealth services as well as speciality clinics. Heiltsuk Hospital also has an Intensive Case Management team for mental health and substance use. There is a medical clinic and a pharmacy located in the hospital. The healthcare team consists of Physicians, RNs, LPNs, PCAs, Laboratory and Radiology Technologists, Combined Lab/X-Ray Technologists, Pharmacist, Pharmacy Assistants, and Support Services Personnel.

Heiltsuk Hospital is located on the traditional territories of the Heiltsuk Nation. It is one of the only provincial hospitals located on a reserve in all of Canada.

Please note that while there is a posting up in both Bella Bella and Bella Coola for this role, there is only one position available. However, the successful candidate may reside in either community and will be supporting two Mental Health and Substance Use teams. Occasional travel to the other community is required as part of the role. Travel will be arranged from the home community with eligible expenses reimbursed in accordance with VCH policy and applicable collective agreement(s).

As per Ministry of Health policy, all health care workers working in publicly-funded health care facilities are required to report their past receipt of certain vaccines or history of certain infections. Collecting these records will allow for offering of any missing vaccines, and for appropriate actions to be taken in the event of any future exposure to a communicable disease or during outbreaks. For all new hires and appointments to Vancouver Coastal Health, you will be asked to provide this information as part of the onboarding process.
