Job summary

The Co-operators Group in Moncton, NB invites applications for an Administrative Coordinator in a Hybrid work arrangement (2 days in office). This role supports senior leadership with project coordination, meeting scheduling, minutes, travel, and reporting.

Strong client service, research, and communication skills, plus knowledge of the co‑op model and insurance industry, are required. Responsibilities include creating program materials, coordinating meetings, processing invoices and expenses,

Qualifications

  • 3–5 years of related experience.
  • Post-secondary education in Business, Communication, Administration, Finance or related discipline.
  • Experience with technology and software for communication, presentations, databases, and virtual meetings.
  • Demonstrated expert client service and research skills.
  • Basic knowledge of the cooperative model and the insurance industry.

Responsibilities

  • Coordinate multiple initiatives and programs; develop materials for stakeholders.
  • Assist in scheduling meetings and organizing events; take minutes and track actions.
  • Arrange meetings with internal/external stakeholders; manage travel and expenses.
  • Manage database updates, reports, and intranet content.
  • Support AVP and Strategic Program Advisor as needed.
  • Support invoice and expense processing with proper authorization.

As the Administrative Coordinator you will be responsible for administrative duties and departmental project co-ordination for various members of the Sr Leadership team. Tasks will vary and will involve outreach with internal and external stakeholders, project/event development and implementation, as well as Associate Vice President (AVP) and Strategic Program Advisor support as required.

How you will create impact:
  • Provides project co-ordination on several initiatives and programs. Develops program materials for various stakeholders.
  • Provides coordination assistance for various meetings and special events as required.
  • Completes other regular office duties such as, but not limited to, arranging meetings with both internal and external stakeholders, taking minutes and tracking outstanding items, travel arrangements, editing and creating PowerPoint presentations, processing expenses and invoices, monitoring group email boxes and directing requests, and providing administrative support as needed
  • Conducts database management including data gathering, accuracy checks, and running reports. Assists in the design and distribution of reports.
  • Manages updates to the department pages on the corporate intranet site as well as other updates as required.
  • Monitors multiple email inboxes, responding to requests and inquiries to ensure the highest level of client service is maintained to enhance our trust and reputation
  • Responsible for processing invoices and expenses with proper authorization.

  • You have 3-5 years of related experience.
  • You have post-secondary education in Business, Communication, Administration, Finance or a related discipline.
  • You have experience with technology and software relating to communication, presentation, databases, web-based products, audiovisual and virtual meetings.
  • You have demonstrated expert client service and research skills.
  • You have a basic knowledge of the co-operative model and the insurance industry.
  • This position primarily works with majority non-francophone groups, and teams located outside of Québec, and requires proficiency in English. The essential non-French duties are not assignable to adjacent or other team members.

Salary information

Expected salary $43,550.00to$72,583.00CAD

Salary placement

The salary amount for the successful candidate is determined by Co-operators in its discretion and will vary depending on several criteria including but not limited to: local market conditions, geography and relevant job-related factors such as knowledge, skills, qualification, experience and education.

Employees may also have the opportunity to participate in incentive programs and earn additional compensation tied to individual and/or business performance, or other business metrics.
