DUTIES

Provides a wide range of administrative, clerical, and financial support services to the Bob Gaglardi School of Business and Economics.

MAJOR DUTIES & RESPONSIBILITIES
  1. Provides administrative support to the Dean's Office by organizing workflow, prioritizing tasks, resolving issues, and handling sensitive material.
  2. Schedules tasks, deadlines, and milestones; monitors project resources and budgets in collaboration with the Assistant Dean - Operations (ADO); reports on project progress.
  3. Performs secretarial duties such as managing incoming calls, correspondence, contracts, and agreements.
  4. Prepares requisitions for purchasing and HR-related documentation.
  5. Schedules meetings, prepares agendas, arranges facilities and equipment, and takes minutes.
  6. Acts as liaison with HR and Finance Departments; manages new hire paperwork and participates in hiring panels.
  7. Coordinates print and online communications, maintains records, and produces reports and newsletters.
  8. Arranges travel, conferences, and special functions; manages office supplies and maintains the website.
  9. Acts as liaison with external agencies and manages mail and office supplies.

EXPERIENCE
  • Five years of related administrative experience.
Skills, Knowledge, or Abilities
  • Effective verbal and written communication skills.
  • Proficiency in MS Office applications at an intermediate to advanced level.
  • Typing speed of at least 60 wpm.
  • Experience with web development and content management.
  • Courtious and tactful interaction with staff, students, and external vendors.
  • Ability to work independently, organize, prioritize, and maintain attention to detail.
  • Operation of office equipment.
WORKING CONDITIONS
  • Sitting at a desk and computer for extended periods; typical office environment.

The salary is determined by the Collective Agreement with CUPE Local 4879, Grade 08, ranging from $30.68 to $34.09 per hour. Note: The position may have a 90% salary rate for the first 560 hours of employment.
