Position Summary

The Schroeder Arthritis Institute is the largest multidisciplinary arthritis hub in Canada, integrating medical, surgical and basic science aspects of Hand, Orthopedics, Osteoporosis and Rheumatology with a goal of making a global impact in discovery, learning and patient care. The Orthopedic Program within the Schroeder Arthritis Institute is advancing integrated Arthritis care to improve patient and care partner experiences and outcomes throughout their journey.

The primary focus of this role is to provide administrative support to the Arthritis Program, Low Back Rapid Assessment Clinic, and digital support for clinical and non-clinical users of the CMS. This involves working collaboratively to support patient care, develop educational materials, webinars, training sessions, and serving as a main contact for provincial CMS users, regional hubs, and stakeholders.

Key Duties
  • Support user queries and customer support for over 5,000 PCPs, 150 spine rehab providers, and support staff
  • Manage and investigate emails in the program inbox
  • Address CMS access and performance issues
  • Provide insights into support requests and participate in vendor meetings
  • Register new users in the CMS system, ensuring privacy and security compliance
  • Coordinate training sessions for new users
  • Offer one-on-one support via video or phone
  • Maintain updated user demographics and FAQs
  • Handle inquiries, onboarding, and referral privileges for PCPs
  • Coordinate webinars with stakeholders at administrative and clinical levels
  • Support creation of educational resources for clinical care and virtual care
  • Manage shared documentation and contact lists
  • Handle phone inquiries and collect wait-time data
  • Generate reports for quality management and quarterly reviews
  • Coordinate team meetings and support the Clinical and Administrative Program Lead
Minimum Qualifications
  • At least 1 year of relevant experience
  • Proficiency with computer software and digital technology
  • Strong analytical, problem-solving, and organizational skills
  • Excellent communication and interpersonal skills
  • Ability to work independently and as part of a multidisciplinary team
  • Understanding of healthcare environment and data management systems
