Job Responsibilities
- Adheres to standards guided by Taproot general, personnel, and program policies, as well as provincial regulations, demonstrating an understanding of Taproot values, policies, and procedures.
- Completes month-end duties, including invoices, staff summaries, and month-end reports.
- Ensures all invoices, bills, expenses claims, etc., are submitted to the financial coordinator promptly.
- Deals with clients and their families professionally and interacts with service representatives, clients, the general public, related agency staff, and other community services.
- Coordinates and performs a range of staff and operational support activities for the region/program; serves as a liaison within the organization to resolve administrative and operational issues.
- Operates a computer to prepare and edit documents, reports, and materials from notes, verbal instructions, or established policies; may prepare agendas and minutes of meetings.
- Schedules and coordinates meetings, events, interviews, appointments, including travel and lodging arrangements for senior management.
- Prepares or assists with statistical and narrative reports, performs basic data gathering, analysis, and forecasting as directed.
- Assists management and staff with problem-solving, project planning, and goal execution.
- Maintains files, databases, records, and updates documents; develops and analyzes data for internal reports.
- Requisitions supplies, printing, maintenance, and other services as needed.
- Leads and trains lower-grade staff and student practicums as required.
- Performs miscellaneous duties such as drive coordination.
- Applicants must provide a recent (within 6 months) Criminal Record Check and Ministry Check before employment confirmation, which may take up to 6 weeks.
Ideal Candidate Qualities
- Minimum high school diploma or GED with specialized admin support training.
- At least 3 years of relevant experience.
Other Requirements / Competencies
- Proficient in Office 365, SharePoint, and familiar with Zoom and Teams.
- Adaptable to changing priorities and interruptions.
- Effective communicator, both orally and in writing.
- Knowledge of inventory control, data gathering, report preparation, and problem-solving.
- Strong organizational, record-keeping, and meeting transcription skills.
