Position Title: Administrative Assistant – Admissions

OVERVIEW:

We are seeking candidates for the position of Administrative Assistant. This role will support and coordinate administrative and event operations for the Admissions office and provides support to prospective and current families.

Key Responsibilities:

  1. Provides excellent customer service to prospective and current families by greeting, assisting and responding to inquiries about the school and application process via various channels.
  2. Arranges and prepares itineraries for school visits and tours often involving multiple stakeholders.
  3. Maintains and updates student data and files for the Admissions department in hardcopy, electronic files and the Blackbaud Enrollment Management database.
  4. Prepares correspondence on behalf of the department to communicate invitations, admissions decisions, etc.
  5. Liaises with other departments to share relevant information.
  6. Assists in coordinating and attends Admissions events.
  7. Supports Family Guild Mentorship Programme by attending meetings, providing information and liaising with new families.
  8. Provides administrative support to the Director of Enrollment Management and the department as required.

This position works Monday-Friday from 8:30am-4:30pm but this role requires flexibility as you may be required to work beyond the standard hours (weekends and after school) to support Admissions events and activities.

QUALIFICATIONS:

  1. Minimum Grade 12 Secondary School diploma or post-secondary diploma or certificate in Office Administration.
  2. Minimum three (3) years’ administration experience.
  3. Experience in an educational setting would be an asset.
  4. Demonstrated ability with advanced Microsoft Office applications.
  5. Exceptional organization skills and attention to detail.
  6. Excellent writing, editing and communication skills.
  7. Knowledge of the full range of administrative procedures, processes, and protocols for an office, including correspondence management, logistics, preparation of a variety of documentation for reference in student and team meetings, and event planning.
  8. Strong sense of professionalism and ethics with a demonstrated ability to handle sensitive or private information with tact and discretion.
  9. Ability to prioritize and manage conflicting demands with skills to assess incoming correspondence, telephone calls, visitors and complaints for attention and referral.
  10. Ability to analyze processes and procedures and implement applicable improvements.
