Job summary

ONWA (Ontario Native Women’s Association) is seeking an Administrative Assistant to provide comprehensive administrative and reception support to the assigned department. You will help with scheduling, records management, reporting, and communications to ensure smooth program delivery.

Ideal candidates have an office administration certificate and two years of experience, strong organizational skills, and the ability to work independently or in a team.

Qualifications

  • Grade 12 Diploma with an Office Administration certificate and two years of administrative experience.
  • Strong administrative, organizational, and time management skills.
  • Excellent written and verbal communication skills.
  • Experience tracking, compiling, and reporting information.
  • Ability to multitask, prioritize workloads, and meet deadlines.
  • Proficiency with Microsoft Office Suite, Office 365, databases, spreadsheets, internet applications, and office equipment.
  • Ability to work independently and as part of a team.
  • Knowledge of local community resources and services.
  • Ability to speak an Indigenous language is considered an asset.

SCOPE:

The Administrative Assistant provides administrative, operational, and reception support to the assigned department. Reporting to the Manager or designate, the Administrative Assistant assists with daily office operations, scheduling, records management, reporting requirements, and communication activities to support the efficient delivery of ONWA programs and services.

QUALIFICATIONS:
SKILLS:
  • Grade 12 Diploma with an Office Administration, Business, or related certificate combined with two (2) years of administrative experience, or an equivalent combination of education and experience.
  • Strong administrative, organizational, and time management skills.
  • Excellent written and verbal communication skills.
  • Experience tracking, compiling, and reporting information.
  • Ability to multitask, prioritize workloads, and meet deadlines.
  • Proficiency with Microsoft Office Suite, Office 365, databases, spreadsheets, internet applications, and office equipment.

KNOWLEDGE:
  • Knowledge of office administration and records management practices.
  • Knowledge of filing systems, data collection, and reporting processes.
  • Understanding of confidentiality and privacy requirements.
  • Knowledge of community resources and services available to Indigenous women and families.
  • Awareness of the barriers experienced by Indigenous women and families.
