Job summary

GFL Environmental is seeking an Administrative Assistant for our Sault Ste. Marie, ON operations. The role supports site leadership, manages daily tasks, and coordinates operational reports to keep the branch organized and efficient.

The ideal candidate brings at least 2 years in an administrative role, excellent organizational skills, and comfort working in a fast-paced industrial environment. This is a full-time position with growth opportunities within the GFL network.

Qualifications

  • 2+ years of administrative/office coordination experience.
  • Ability to manage payroll data and operational tracking reports.
  • Strong organizational skills with multitasking ability.

Responsibilities

  • Provide administrative support to site leadership and daily operations.
  • Prepare and distribute operational tracking reports (Roll-Off Trend Reports, Fuel Usage, Inventory metrics).
  • Coordinate light administrative sub-projects and training/workshops.
  • Assist with payroll timesheets submission and branch invoices/POs.
  • Maintain contracts, bids, and proposals; support safety record maintenance.
  • Manage mail, office supplies, and basic customer service for the branch.

Job Title: Administrative Assistant Location: Sault Ste. Marie, ON Shift: Monday to Friday (8 - 4 with flexibility as hours may vary)

The Opportunity We are seeking a sharp, highly organized, and resilient Administrative Assistant to serve as the operational backbone of our Sault Ste. Marie site. This isn't a slow-paced desk job. You will work closely with site and regional leadership to keep our daily operations running smoothly. From managing payroll data and operational tracking reports to tackling ad-hoc operational projects, you will be the go-to person who keeps the branch organized, accountable, and moving forward. What You'll Do
  • Operational & Executive Support: Provide administrative support to site leadership, managing working files, correspondence, and daily operational priorities.
  • Reporting & Tracking: Prepare and distribute key operational tracking reports (e.g., Roll-Off Trend Reports, Fuel Usage, Commodity Reports, and inventory metrics).
  • Light Project Coordination: Take ownership of administrative sub-projects, coordinating meetings, training workshops, and site initiatives from start to finish.
  • Payroll & Finance Support: Assist with the timely and accurate submittal of payroll timesheets, process branch invoices/POs, and support basic general ledger entries.
  • Document & Safety Compliance: Maintain digital and physical contracts, bids, and proposals in accordance with company policy, while assisting with safety record maintenance.
  • Branch Logistics: Manage incoming/outgoing mail, manage office supplies, and provide occasional customer service support for local branch needs as required.
  • Additional Duties: Perform other operational duties as assigned by leadership.
What We’re Looking For
  • Proven Administrative Experience: 2+ years in an administrative, office coordination, or operational support role (experience in logistics, industrial, construction, or transport industries is a major plus).
  • Project & Priority Management: Excellent organizational skills with the ability to multitask, reprioritize on the fly, and manage shifting deadlines.
  • Resilience & Thick Skin: Comfortable working in a fast-paced, hands-on industrial environment alongside dynamic leadership.
  • Agility & Responsiveness: High ownership mindset with the flexibility to handle urgent operational requests as they arise.
  • Tech-Savvy: Strong proficiency with Microsoft Office Suite (Excel, Word, Outlook) and comfortable adapting to new ERP/payroll systems.
  • Integrity & Professionalism: High degree of ethics, confidentiality, and sound judgment when handling sensitive business data.
