Job summary

University of Regina is seeking an Administrative Assistant to provide comprehensive administrative support within the Faculty of Engineering and Applied Science. You will assist the Dean's Office and lead coordination of timetables, events and communications.

The role requires strong MS Office skills, experience with database systems, payroll, web content, and event management, along with the ability to work independently and as part of a team in a fast-paced setting.

Qualifications

  • Grade 12 with a recognized business course.
  • Minimum of three years experience related to the duties specified.
  • An equivalent combination of education and experience may be considered.

Responsibilities

  • Provides administrative support to the Director, Program Coordinator, Associate Dean, and Faculty leadership on academic and operational matters.
  • Coordinates Faculty timetable scheduling, course offerings, room bookings, and related scheduling processes.
  • Plans, coordinates, and supports the delivery of annual Faculty events, meetings, and special initiatives.
  • Develops and maintains Faculty communications materials, including website content, social media, posters, brochures, newsletters, and other promotional resources.
  • Serves as the administrative resource for the Faculty Admissions and Studies Committee, including meeting coordination, agenda preparation, minute taking, and follow-up on committee actions.
  • Maintains and updates the Faculty website and informational publications to ensure accurate and current information for students, faculty, staff, and external stakeholders.
  • Provides backup support for purchasing, student payroll administration, and related financial processes.
  • Provides front-line customer service and information to students, faculty, staff, and members of the public in the Faculty Main Office.
  • Maintains records, prepares correspondence and reports, and assists with a variety of administrative and operational processes.
  • Sorts and distributes mail and coordinates general office functions.
  • Provide reception support and assist with general inquiries, including student-facing questions as needed
  • Performs other related duties as assigned.

Position Requirements
  • Graduation from Grade 12 supplemented by the successful completion of a recognized business course;
  • Minimum of three years experience related to the duties specified;
  • An equivalent combination of education and experience may be considered.
Skills That Will Ensure Your Success in this Role
  • Intermediate to advanced knowledge of MS365 applications including Word, and Excel;
  • Knowledge of office practices, principles and procedures;
  • Ability to apply university, government and Faculty academic and administrative policies and procedures;
  • Experience using complex database systems; such as Banner and DCU ;
  • Demonstrated experience entering payroll;
  • Experience in web content and social media development; Cascade preferred;
  • Demonstrated experience with event management planning and coordination;
  • High level of organizational skills and ability to prioritize and handle multiple tasks efficiently and meet deadlines;
  • Experience in providing executive support to committees, including agenda development, scheduling, minute taking and transcription and meeting package distribution;
  • Strong attention to detail to complete high quality, accurate, error-free work;
  • Ability to work independently and as part of a team in a fast-paced office environment exercising good judgment and calmness under pressure;
  • Ability to work with minimal supervision and make informed, independent decisions in accordance with established policies and procedures;
  • Ability to communicate effectively orally and in writing;
  • Ability to edit and create materials for social media and informational publications; Adobe InDesign preferred;
  • Ability to be courteous and tactful with everyone and ability to maintain effective working relationships with other employees.
Physical Demands

Pay Grade CUPE Phase 4 Salary Range

$45,591.40 - $61,570.60 Annually
