Job summary

McElhanney is seeking a proactive Administrative Assistant for our Kamloops office. You will be the first point of contact, manage multiple priorities, and support the team to ensure smooth operations. This role thrives in a collaborative environment with a strong team culture and community involvement.

The ideal candidate has at least 2 years in an administrative role, strong MS Office skills, and a can-do attitude. A valid driver’s license and basic accounting knowledge are advantageous.

Qualifications

  • 2+ years of office experience in reception/administrative support
  • Proficiency with MS Office (Word, Excel, PowerPoint, Teams)
  • Experience with technical writing or in a consulting environment
  • Attention to detail, multi-tasking, and ability to work independently
  • Discretion with confidential information; strong communication skills
  • Knowledge of basic accounting/bookkeeping is a plus
  • Valid driver’s license is required

Responsibilities

  • Answer phones, greet clients, manage mail and couriers
  • Coordinate meetings, conference registrations, staff travel
  • Lead branch engagement initiatives and community events
  • Track safety duties, schedule trainings, monthly reporting
  • Prepare letters, memos, emails; assist with filing, scanning, archiving

The Opportunity:

McElhanney Ltd. is seeking a proactive and detail-oriented Administrative Assistant to join our fast-paced and dynamic Kamloops office. This role is ideal for an experienced individual who thrives in a collaborative environment and takes pride in anticipating the needs of both the team and the office to ensure smooth, efficient operations. As the first point of contact at the branch, you bring a warm, friendly demeanor and excel at managing multiple priorities with confidence and composure. What You'll Be Doing:
  • Serve as the first point of contact by answering phones, greeting clients, and managing incoming/outgoing mail and couriers.
  • Coordinate administrative logistics, including meetings, conference registrations, staff travel arrangements.
  • Champion and lead branch engagement initiatives, including client appreciation barbecues, employee-focused community events, and charitable fundraising activities.
  • Completing various Safety related duties, including tracking, scheduling training, corrective follow-ups, and monthly reporting, as the office first aid representative.
  • Prepare and manage communications, such as letters, memoranda, and email correspondence, as well as assist with general clerical duties like filing, photocopying, scanning, archiving, and document disposal.
  • Manage inventory of office supplies and coordinate supply orders.
  • Maintain vehicle maintenance schedules.
  • Provide general support as needed, taking on a variety of tasks to ensure efficient branch operations.
What You'll Bring:
  • A minimum of 2 years' prior office experience in a reception and administrative support role; formal training in an administration program is considered an asset.
  • Proficiency with MS Office (Word, Excel, PowerPoint, Teams, etc.)
  • Experience with technical writing, and or experience with the professional consulting industry is strongly preferred.
  • Excellent attention to detail, good multi-tasking and proofreading abilities, punctual, and the ability to work independently in a busy environment.
  • Friendly, reliable, and team-oriented individual who consistently demonstrates discretion with confidential information.
  • Ability to take initiative and aptitude for quick learning.
  • Knowledge of basic accounting/bookkeeping functions and theory is considered an asset.
  • A valid driver's license is required.

The salary range for this position is $60,000 - $80,000 per annum.
