Job description

Located in St. Albert, Alberta, and reporting to the Manager, Portfolio Management, this full-time position will provide support to the Portfolio Management Team within Canada ICI’s Asset Management Group (AMG) in their administration of Mortgage Investments made by Canada ICI’s broad investor network.

The main roles of the position include communicating with Originators and Borrowers for the collection of Annual Review Documents, reviewing and organizing the information as received and the continued support to the other Analysts with Portfolio Management. Education and Skills

  • Some experience in Commercial Real Estate Industry is an asset.
  • Proficiency with Microsoft Office Suite including O356, Outlook, Word and Excel.
  • Proven organizational skills and demonstrate the ability to prioritize and multi-task.
  • Excellent attention to detail.
  • Strong communication skills, verbal & written, with experience in providing excellent customer service.
  • Ability to develop and maintain a positive working relationship with various departments, originators, customers, solicitors, and third-party professionals.
  • Ability to multi-task and work in a rapidly changing environment with shifting deadlines and priorities.

Responsibilities

  • Responsible for the preparation and distribution of investor-specific and portfolio-wide reporting on a weekly, monthly, quarterly and annual cycle as required.
  • Assist Analysts with the completion of annual and periodic review of mortgage facilities held by investors within the Asset Management group, including, but not limited to:
    • Preparing Annual Review Letters for all loans to include all documents required to complete the Annual Review as outlined in the Commitment.
    • Coordinating with the Origination team and sending out all letters to the Originators and/or the Borrowers directly.
    • Sending follow up emails to Originators and/or Borrowers for the Annual Review documents if not received with the first request.
  • As documents are received, the Administrative Analyst will be responsible for the following actions:
    • Saving all documents to the appropriate folder.
    • Reviewing documents to confirm they are complete and contain the required information.
    • Completing an Annual Review checklist to be saved in the folder.
    • Alerting the Analyst that all information has been received and the annual review can be completed.
  • Upon completion of the underwriting and analysis of the annual review, as confirmed by the Analysts, the Administrative Analyst will advise the remaining AMG teams that the review is completed and ensure the appropriate fee is entered into CMS.
  • Responsible for Rate Lock Letters, including:
    • Preparing.
    • Receiving approvals.
    • Arranging for Execution.
    • Distributing to the appropriate parties.
  • Provide support to Documentation, Funding and Servicing teams within the AMG Group as required.
