This organization, operating in the real estate sector, is seeking an Administrative Officer for its sanitation department.
Tasks and Responsibilities
- Provide administrative support for planning, monitoring, control, and distribution of work activities within the administrative unit.
- Ensure the preparation, follow-up, and coordination of files related to housing, work recordings, fumigation, elevator maintenance contracts, disasters, or similar areas.
- Enter information related to maintenance work requests and perform administrative reconciliation of work records.
- Verify the conformity of data entered on invoices, purchase orders, delivery notes, and similar documents.
- Prepare and process requisitions.
- Follow up and update maintenance work lists.
- Complete, prepare, and monitor attendance records, travel, and related reports.
- Update various computer files of the administrative unit.
- File and photocopy administrative documents.
- Transmit documents to contractors or external stakeholders.
- Prepare reports related to purchase order follow-up.
- Distribute maintenance work as needed.
- Participate in closing work requests when required.
- Approve, enter, and follow up on contractors' invoices.
- Open and monitor claims files.
- Process invoices within the financial system.
Desired Profile
- Proficiency in French and spoken English.
- Good knowledge of mathematics.
- Proficiency with office automation tools and understanding of accounting principles.
- Understanding of issues related to maintaining residential buildings.
- Minimum of two years of experience in a similar role.
