We're seeking an organized Admin Assistant with EA experience to support leadership and keep daily operations on track.

Agilus is recruiting for an Admin Assistant/EA Support in the real estate development industry in Vancouver, British Columbia.

A day in the life:
  1. Oversee daily administrative operations of the executive office, including document management, correspondence, and ensuring overall office efficiency.
  2. Identify areas for improvement in administrative systems, workflows, and organizational processes to increase effectiveness.
  3. Work with internal teams and departments as necessary to support the completion of administrative tasks.
  4. Provide high-level administrative assistance to the executive office, including managing schedules, preparing reports, and handling sensitive information when required.
  5. Organize and schedule meetings, appointments, and travel arrangements, ensuring smooth logistics and coordination.
  6. Manage expense reports, track budgets, and ensure financial accuracy.
  7. Handle sensitive and confidential information with the utmost professionalism and discretion.
Must have:
  • Minimum of 3 years of experience in an administrative assistant role, with exposure to executive assistant functions such as calendar management and travel coordination.
  • Extensive experience managing executive calendars and arranging domestic and international travel.
  • High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other administrative tools.
  • Experience in budget tracking, expense reporting, and office operations.
  • Excellent written and verbal communication skills.
  • Professional demeanor with the ability to engage effectively with executives and external stakeholders.
  • Exceptional organizational and multitasking abilities with a strong attention to detail.
