Nature of the Work & Responsibilities
NATURE OF THE WORK:
The principal and customary work of the employee in this employment class consists in performing various kinds of technical tasks of an administrative nature in areas related, among others to the management of financial and material resources and to school organization. In his/her work the administration technician may support personnel as well as users of the department concerned.
RESPONSIBILITIES:
Course Allocation
- Oversee and Coordinate course allocation and registration processes.
- Analyze course demand and support course allocation planning.
- Manage related communications, data management, and administrative activities.
- Train and support Chairs, Coordinators, and registration staff on course allocation procedures and systems.
- Implement scheduling constraints and revise course allocations as required.
Online Registration
- Coordinate and maintain registration information, webpages, and related student resources.
- Support the planning, communication, and delivery of registration activities each semester.
- Organize registration support services, including helpline and registration-day operations.
- Troubleshoot and resolve registration issues in collaboration with relevant departments.
- Assist with registration system testing, appointment generation, and process improvements.
Late Registration and Course Change activities
- Coordinate and oversee late registration and course change processes.
- Manage the review, approval, and communication of late registration requests.
- Maintain course change systems and troubleshoot related technical issues.
- Train and support staff involved in course change and student support activities.
Validating Official Data
- Assist with the preparation, validation, and transmission of student data to professional orders, and other external organizations.
- Support the administration and coding of Recognition of Student Involvement (ROSI) records and other required reporting activities.
Scheduling
- Oversee and coordinate certain scheduling activities
- Analyze scheduling patterns; make recommendations accordingly.
- Support the training of Chairs, Coordinators, schedulers, and scheduling staff on procedures and systems.
Other
- Collaborate with scheduling and registration team to support operational activities.
- Perform other related tasks as assigned by the supervisor.
Qualifications & Conditions
QUALIFICATIONS:
In the administration field, have a diploma of college studies (DEC) in administration with an appropriate specialty or, in the office automation field, a diploma of college studies (DEC) in office automation with an appropriate specialty or, a diploma or an attestation of studies which is recognized as equivalent by the competent authority.
CONDITIONS:
- Strong organizational and time management skills with the ability to plan, coordinate, and monitor a high volume of activities while maintaining a high level of accuracy and attention to detail.
- Ability to coordinate, analyze, and maintain information systems, ensuring accuracy, integrity, and compliance with established procedures
- Demonstrated ability to manage multiple priorities, resolve complex administrative or technical issues, and deliver results within established deadlines.
- Excellent interpersonal and communication skills
- Intermediate oral and written English communication skills (testing may be required)
- Intermediate oral and written French communication skills (testing may be required)
- Intermediate level in Microsoft Excel and Word
- Knowledge of WordPress
- Knowledge of student information system Clara
- Familiarity with scheduling software Academic (asset)
