Position Overview

Art With a Heart is looking for a dedicated and organized Account Assistant to join our summer programming team for an 8-week contract. The Accounting Assistant will work closely with the Program Manager, and the bookkeeper to ensure financial processes run smoothly and efficiently throughout the summer season.

Key Responsibilities
  • Maintain accurate financial records for summer programs and staff.
  • Process payroll for summer staff, ensuring all payments are made in a timely and accurate manner.
  • Ensure compliance with financial policies and procedures.
  • Track program-related expenses, ensuring all costs are documented and accounted for.
  • Manage invoices and process payments to vendors and contractors.
  • Prepare financial reports, summaries, and budget updates for the leadership team.
  • Assist with preparing year-end financial reports as necessary.
  • Work closely with the Accountant Assistant to ensure financial processes are efficient and accurate.
  • Collaborate with staff to ensure proper coding and allocation of expenses.
  • Ensure all financial records comply with organizational and legal standards.
  • Conduct regular audits of financial records and transactions to ensure accuracy.
Qualifications
  • Previous experience in accounting or bookkeeping, preferably in a non-profit or community organization setting.
  • Strong understanding of payroll processing and financial reporting.
  • Proficient in accounting software (e.g., QuickBooks) and Microsoft Office, especially Excel.
  • Attention to detail with the ability to handle multiple tasks simultaneously.
  • Strong organizational and time-management skills.
  • Ability to work collaboratively with the leadership team and other departments.
  • Knowledge of financial policies and procedures in a non-profit setting is an asset.
  • Ability to maintain confidentiality and handle sensitive financial information.
