Job description

We are looking for a detail-oriented and dependable Accounting Administrator to support the financial operations of a large-scale infrastructure project. In this vital role, you'll be responsible for ensuring seamless invoice processing, accurate timesheet management, and efficient vendor coordination—all while keeping things organized and on schedule. You'll play a key part in maintaining strong vendor and subcontractor relationships and supporting the Finance team with critical month-end and year-end deliverables. Essential Responsibilities:

  1. Ensure invoices are matched against purchase orders and forwarded to approvers.
  2. Review vendor statements to ensure all payments are captured and processed in a timely manner to maintain positive working relations with vendors and subcontractors and avoid late fees and/or interest charges.
  3. Work through any invoicing discrepancies with vendors efficiently and professionally.
  4. Ensure all timesheets are received from field personnel, all approvals and coding are present and processed on time accurately. Respond to craft inquiries efficiently and courteously.
  5. Set up vendors, subcontractors, and craft personnel in the respective systems and maintain profile information such as contact info (addresses, phone numbers, emails), banking information, etc.
  6. Learn, interpret, and apply organizational policies, rules, and regulations.
  7. Establish accounts with local suppliers for miscellaneous items for the site.
  8. Assist the Finance team with month-end/year-end deliverables.

Qualifications:

  1. Bachelor's degree or College diploma in Accounting or a related discipline.
  2. Minimum 3 years of experience in a related field.
  3. Experience in tracking budget expenses and performing data entry.
  4. Experience working with vendors.
  5. Ability to perform basic math operations.
  6. Proficient with MS Office Suite (Outlook, Word, Excel, PowerPoint).
  7. Strong organizational skills to meet deadlines.
  8. Ability to prioritize and execute multiple activities with close attention to detail.
  9. Strong follow-up skills.

Compensation

$43,600 - $59,950 annually. This base pay range is indicative; individual pay will be determined based on experience, knowledge, skills, education, and location.
