ACCESS (Advancing Childhood Cancer Experience, Science & Survivorship) is a CIHR-funded initiative (lead institution SickKids) to build a national childhood cancer strategy that will change the way children's cancers are researched and treated. The mission of ACCESS is that every child with cancer in Canada has access to the latest scientific advances, diagnostic tools, therapies and supportive care leading to better outcomes and a better quality of life. ACCESS includes clinicians, researchers, survivors, patient advocates and other stakeholders from across Canada who have diverse experience and expertise.
We are currently seeking an administrative assistant to join our team. In this role you will be a key member of the ACCESS Secretariat team and will be responsible for a broad range of administration and coordination activities to facilitate the implementation of ACCESS research groups, research projects, network-building and engagement work.
Reporting to the Director of ACCESS and working closely with the ACCESS Secretariat team and the ACCESS Executive Committee, the administrative assistant will be the primary point of contact for the scheduling of time with the Director. The administrative assistant will be integral to the day-to-day operations of the network. This position requires a proactive and action-oriented individual with excellent organizational, interpersonal, multi-tasking and problem-solving skills.
Key Tasks
- Provide administrative support to the Director and the ACCESS Secretariat team
- Act as primary point of contact for all other administrative and/or executive assistants seeking availabilities of the Director and at times the ACCESS Secretariat team
- Aid with the triaging of emails from the ACCESS Secretariat shared email inboxes and directing them to the correct member of the ACCESS Secretariat
- Organize meetings on behalf of the ACCESS Secretariat and governance bodies for ACCESS by preparing agendas, background material and taking minutes of meetings (when needed).
- Coordinate workshops/meetings by helping develop presentations and meeting material, taking meeting minutes (when needed), arranging travel, accommodations and reimbursements, supporting registration, setting-up and cleaning-up meeting rooms, arranging catering, etc.
- Provide administrative oversight for submitted applications/proposals (i.e., downloading and organizing applications, checking for submission completeness, etc.)
- Contribute to the development of guidelines, procedures and standards
- Coordinate, process, and track the submission of invoices and expenses
- Organize, maintain and manage electronic file sharing systems to support the ACCESS Secretariat (internal) and ACCESS Senior Leadership Committee and Co-Leads (external)
Qualifications
- Minimum three (3) to five (5) years of experience in a comparable administrative role
- Ability to work with great efficiency and to perform multiple concurrent tasks
- Demonstrated interest, enthusiasm, dedication, flexibility and willingness to seek/undertake tasks and learn new skills
- Excellent communication skills, both written and verbal, to facilitate effective communications with a diverse range of stakeholders and to communicate with external collaborators and users.
- French language skills considered an asset
- High computer proficiency with specific knowledge of Microsoft Office 365 apps/tools, survey and form tools (i.e., REDCap, Microsoft Forms, etc.) and video conferencing programs (i.e., Zoom, Teams, etc.)
- Ability and willingness to accept responsibility, use good judgment, and work proactively and effectively.
- Ability to work under pressure and pay attention to detail
- Ability to perform duties in a professional and courteous manner and produce high quality work while meeting deadlines (efficient at completing and following up on tasks)

Employment Type: Full-time temporary 1 year contract with modified benefits (i.e., health & dental).
