Base pay range

CA$98,395.00/yr - CA$122,994.00/yr

Position Summary

Reporting directly to the Director of Academic Logistics, the Academic Logistics Manager is responsible for coordination and oversight of centralized academic logistics, including faculty workload administration, SWF/FLAC processes, instructional space, scheduling, and resource allocation to support effective program delivery. Collaborating closely with academic leadership such as Associate Deans, the Academic Logistics Manager develops strategies for continuous improvement across academic divisions; they will identify operational challenges, implement data-driven solutions, and streamline processes to enhance academic service delivery and student and faculty experiences.

As a key resource and partner to academic and College leadership, the Academic Logistics Manager plays a critical role in coordinating academic resources based on real-time enrolment trends and pedagogical requirements. The incumbent applies deep operational knowledge to optimize instructional space usage (e.g., matching course types to appropriate labs and facilities), and collaborates with Scheduling and Associate Deans to ensure that SWF (Standard Workload Forms) and faculty workload planning are accurate and cost-effective. Additionally, the role involves contributing to policy development, promoting cross-functional collaboration, and ensuring alignment with institutional strategic and financial goals through efficient resource management.

Responsibilities

  • Implements standardized operational workflows to support the effective delivery of curriculum across academic units, with an emphasis on workload optimization and space scheduling efficiencies.
  • Coordinates the assignment and deployment of faculty resources in accordance with institutional workload policies, including full integration of SWF planning and faculty teaching assignments that align with enrolment patterns.
  • Manages contract generation process for non-full-time faculty through the FLAC system.
  • Collaborates with the Scheduling Office to optimize the use of instructional space and facilities.
  • Supports the development of instructional capital plans based on program needs and input from leadership.
  • Aligns instructional resources with enrollment forecasts/changes in collaboration with the Director and Strategic Enrollment Management (SEM) team.
  • Works with IT and Data Analytics teams to support and enhance academic operational systems, including the Faculty Load Assignment Contracts (FLAC) and Positive Time Entry (PTE) processes.
  • Monitors faculty workload utilization and provides reporting to support efficient deployment of teaching resources.
  • Supports academic quality assurance activities; ensuring logistics align with standards.
  • Supports the development and tracking of Faculty-level budgets; monitors expenditure activity and ensures adherence to approved budgets.
  • Prepares and analyzes financial reports for the Director, flagging variances and trends impacting resource planning.
  • Develops and refines operational tools and procedures to streamline academic logistics in partnership with the Director.
  • Identifies opportunities for shared services and harmonized practices across Faculties to improve service consistency and reduce redundancy.
  • Acts as a key point of coordination between academic departments and central services such as IT, Facilities, and People & Equity.
  • Performs additional responsibilities as directed by the Director of Academic Operations to support institutional priorities and projects.

Qualifications/Experience

  • Three-year Diploma/Degree together with relevant professional qualification, or four-year degree in Business Administration, Management, Human Resources, Education, or another related field. A combination of education, training and experience will be considered.
  • Seven (7) years of progressive experience within the public sector (e.g., post-secondary education, healthcare, or government) in operations, administration, or logistics, with demonstrated responsibility for complex scheduling, staffing coordination, and resource allocation.
  • Strong preference for experience in a college or university setting, particularly in roles involving academic scheduling, SWF planning, FLAC administration (e.g., generating and managing teaching contracts for non-full-time faculty), and coordination of instructional space and section delivery.
  • Proven experience implementing and administering operational policies and procedures that support delivery of key business operations and services.
  • Proven experience supporting budget management and financial reporting for business units or divisions in an academic or public sector environment, ensuring resources are utilized efficiently.
  • Hands-on experience working with institutional data systems (ex. information systems, scheduling tools, budgeting platforms) to support operations and logistics.
  • Familiarity with accreditation processes and/or other compliance requirements, ensuring operational practices meet mandated standards.
  • Demonstrated communication skills to collaborate and work effectively with stakeholders.
  • Demonstrated commitment to Indigenization, anti-racism, equity, diversity, and inclusion, and to incorporating these principles into daily operations, planning processes, and service delivery in a post-secondary academic environment.
