Job Purpose

The Philanthropy Coordinator is an essential member of the Philanthropy team, providing administrative, project coordination and fundraising support that enables the Foundation to achieve its annual fundraising and revenue generation goals. Working collaboratively with Philanthropy team members, the Philanthropy Coordinator assists with donor engagement, grant and proposal coordination, stewardship initiatives and donor communications while ensuring the efficient coordination of fundraising activities and exceptional service to donors and community partners. The role builds fundraising capacity by enabling frontline fundraisers to focus on relationship management, donor engagement and revenue generating activities.

Key Responsibilities
  • Provide administrative and project coordination support to frontline fundraising staff in advancing donor relationships through cultivation, solicitation and stewardship activities.
  • Assist in preparing donor briefing materials, prospect profiles, solicitation packages, presentations, donor correspondence, pledge documentation, acknowledgement letters and other fundraising materials.
  • Support the coordination and submission of grant applications, sponsorship requests and foundation proposals, including proposal schedules, grant deadlines, reporting requirements and stewardship deliverables.
  • Conduct basic prospect research and compile background information to support donor engagement strategies.
Donor Stewardship & Experience
  • Support meaningful donor stewardship through acknowledgement correspondence, stewardship calls and donor communications.
  • Respond to donor and community partner inquiries with professionalism, ensuring exceptional customer service and directing requests appropriately.
  • Support donor recognition and stewardship initiatives, including coordinating donor recognition signage, supporting recognition events, and tracking stewardship activities and recognition commitments.
Database & Pipeline Support
  • Maintain accurate prospect and donor records within Raiser’s Edge, ensuring all actions, proposals, relationships, biographical information and fundraising activity are entered accurately and in a timely manner.
  • Assist in preparing fundraising reports, dashboards, donor lists, pipeline metrics and other information to support fundraising activities.
  • Ensure compliance with Foundation business rules, data standards and privacy requirements.
Fundraising & Administrative Coordination
  • Coordinate meetings, donor visits, calendars, correspondence and travel arrangements, including meeting logistics, agendas, minutes and follow-up action items in support of fundraising activities.
  • Process and reconcile Philanthropy team expense reports, invoices and purchase requests.
  • Maintain shared team calendars, fundraising trackers and project schedules that support the Philanthropy team.
  • Support and attend Foundation-wide events, community initiatives and organizational activities, providing operational and administrative support to ensure the Foundation and Philanthropy team are well represented and supported.
  • Perform other duties as assigned in support of Foundation priorities.
Position Requirements
  • Post-secondary education in Business, Communications, Fundraising, Non-Profit Management, Public Relations or a related discipline, or an equivalent combination of education and experience.
  • Excellent written and verbal communication skills with the ability to prepare professional donor correspondence and fundraising materials.
  • Strong interpersonal and relationship-building skills with exceptional customer service.
  • Experience with fundraising CRM systems, preferably Raiser’s Edge, an asset.
  • Strong proficiency with Microsoft Office, including Word, Excel, Outlook and PowerPoint.
  • Excellent organizational skills with the ability to manage multiple priorities and deadlines.
  • Valid driver’s license and access to reliable transportation.
  • Passion for healthcare philanthropy and improving health care in Durham Region through charitable giving.
