JOB SUMMARY
The Receptionist for Life'sJourney Inc. is supervised by the Senior Assistant. The Receptionist’s primaryresponsibility is receiving, screening, forwarding telephone calls and takingmessages. In addition to this, the receptionist also greets visitors attendingat the office as the first face and the first voice of Life’s Journey Inc. TheReceptionist position is responsible for creating and maintaining a positive,caring, friendly atmosphere, where guests and callers feel welcome andrespected.
The Receptionist is alsoresponsible for receiving all faxes, recording specific faxes and documents onspreadsheets, and forwarding these to their recipients. Other duties includephotocopying, maintaining and receiving the offices’ supply requests, receiving,recording and filing the Incident Reports, and any other duties as requested byExecutive Assistant or delegate.
The Receptionist will workcooperatively and collaboratively with other staff, maintaining and fostering aspirit of teamwork and cooperation with the Executive Director, all agencystaff, consumers, collaterals, funders, etc. The Receptionist will modelprofessional behavior at all times, maintaining confidentiality, and adheringto agency policies and procedures.

DUTIES AND RESPONSIBILITIES
- Adhere toWorkplace Health and Safety policies and procedures at alltimes.
- Adhere to agencypolicies andprocedures.
- Provide mainreception duties; ensure calls are directed expediently andappropriately.
- Strictly followthe protocols for handling client telephonecalls.
- Prepare formeetings, set the room up, make coffee, arrange for food ifrequired.
- Answer the frontdoor and back door, greet visitors in a friendly, professional manner, showmeeting attendees to meeting rooms; determine who they are meeting and advisethe appropriatestaff.
- Ensure front dooris locked when office isclosed.
- Receive, sort andrecord the Medication Administration Reports, Resident Journal Forms, and theConsumer Incident Reports on spreadsheets and in appropriate binder, anddistribute received faxes to the appropriaterecipient.
- Greetinterviewees, announce their arrival, and contact prospective supervisor whenapplicant has completed the applicationform.
- Process allphotocopying, filing or faxing, asrequired.
- Assemble EmployeeHiring Packages.
- Ensure adequatenumbers of all forms are on hand for office use, copy more as required.

- AssembleResidential Form Packages.
- Monitor officesupplies and order in advance of runningout.
- Receive officesupply orders from staff; obtain approval of orders from Executive Assistantbefore ordering.
- Receive incomingsupply orders, ensuring accuracy of order, distribute supplies torecipients.
- Maintain fileroom in a safe organized and orderly manner.
- Maintainreception area in a tidy and safe manner.
- Ensure fax andphotocopier are operational, facilitate repair when they’re not functioning optimally.
- Ensureconfidential document in All Move shredding containers are removed whenfull.
- Fulfill any otherduties required, as requested by Executive Assistant or designate.
QUALIFICATIONS

Education
- High SchoolDiploma.
- Knowledge ofadministrative and clericalprocedures.
- Knowledge ofcomputers and relevant softwareapplications.
- Knowledge ofcustomer service principles andpractices.
- Keyboardskills.
Experience
- Recent experienceas Receptionist in a busy officeenvironment.
- Confident inworking at the reception desk on theirown.
- Computing skills(intermediate experience in Outlook, Word and Excel) are alsoessential.
- Ability to multi-task.
- Ability to relayinformation accurately tostaff.
