Job summary

Saulteau First Nations is seeking a Governance Policy Coordinator to support the development, review, and implementation of Nation policies. You will coordinate policy review cycles, draft policy language, maintain the policy library, and work with leadership, Elders, and community members to ensure policies are practical, culturally respectful, and aligned with Nation priorities.

This role may assist with grant applications and reporting to support Governance Department priorities.

Qualifications

  • Post-secondary diploma or degree in public administration, Indigenous governance, political science, communications, business administration, or related field.
  • Equivalent combination of education, training, and experience may be considered.
  • Minimum of two years of policy coordination, policy writing, governance administration, research, or related experience.
  • Experience with First Nation or Indigenous organizations is preferred.

Job Purpose

The Governance Policy Coordinator supports the development, review, approval, implementation, and ongoing maintenance of Saulteau First Nations policies. The position coordinates the policy review cycle, prepares clear policy drafts and supporting materials, maintains the policy library and approval records, and works with departments, leadership, Elders, and community members to ensure policies are practical, current, culturally respectful, and aligned with Nation priorities.

The Governance Policy Coordinator may also assist with selected funding applications and reporting requirements that support Governance Department priorities.

Duties and Responsibilities
Policy Development and Coordination
  • Coordinate the development, review, and updating of Nation policies, procedures, guidelines, and related governance documents.
  • Work with departments and subject matter experts to gather operational information and translate it into clear, practical policy language.
  • Prepare policy drafts, briefing notes, summaries, recommendations, and presentation materials for management and Chief and Council.
  • Coordinate internal reviews, legal reviews when directed, community engagement, and approval processes for proposed policies.
  • Support the implementation of approved policies by preparing communication materials, procedures, templates, and staff guidance.
  • Track policy review dates, assigned actions, approvals, amendments, and implementation status.
  • Provide regular updates to the Manager of Governance regarding policy development, approvals, implementation, and required follow-up.
Policy Library and Records
  • Maintain a complete and organized policy library, including current policies, archived versions, approval records, and supporting documents.
  • Maintain policy templates, numbering conventions, review schedules, version histories, and document control standards.
  • Coordinate with the Governance Executive Assistant and other staff to maintain related Band Council Resolution records and policy approval files.
  • Ensure policy documents are stored, handled, and shared in accordance with Nation confidentiality requirements, records management practices, and cultural protocols.
Research and Engagement
  • Research legislation, regulations, funding conditions, community practices, and other information required to support policy development and review.
  • Monitor legislative, regulatory, and organizational changes that may affect Nation policies and identify documents requiring review or amendment.
  • Coordinate input from leadership, employees, Elders, committees, community members, and external partners as directed.
  • Support policy-related meetings, consultations, and community engagement activities.
  • Integrate community values, cultural knowledge, and guidance from Elders into policy processes where appropriate.
Funding Support and General Duties
  • Assist with selected grant and funding applications that support governance priorities, as assigned.
  • Support grant reporting and maintain records for funding applications managed by the Governance Department.
  • Attend meetings, workshops, training sessions, and community engagements as required.
  • Perform other related duties as assigned to support Governance Department priorities.
Required Qualifications & Experience
  • Post-secondary diploma or degree in public administration, Indigenous governance, political science, communications, business administration, or a related field.
  • An equivalent combination of relevant education, training, and experience may be considered.
  • Minimum of two years of relevant experience in policy coordination, policy writing, governance administration, research, or a related role.
  • Experience working with a First Nation or Indigenous organization is preferred.
  • Experience preparing policies, procedures, briefing notes, reports, or other formal documents is preferred.
Required Knowledge, Skills & Abilities
  • Strong writing and editing skills, including the ability to prepare clear, plain-language policies, procedures, briefing notes, and reports.
  • Strong organizational, research, document control, and project coordination skills.
  • Ability to manage multiple assignments, track deadlines, follow approval processes, and maintain accurate records.
  • Sound judgment and discretion when handling confidential or sensitive information.
  • Understanding of Indigenous governance, community engagement, and cultural protocols.
  • Knowledge of Saulteau First Nations, its community, and its governance structure is an asset.
  • Ability to build respectful working relationships with leadership, employees, Elders, committees, community members, and external partners.
  • Proficiency with Microsoft Office, including Word, Excel, Outlook, PowerPoint, SharePoint, and Teams.
  • Ability to communicate clearly and professionally, both verbally and in writing.
  • Ability to work independently and collaboratively as part of a team.
  • Valid Class 5 driver’s licence and access to reliable transportation.
  • Ability to provide a satisfactory criminal record check.
Work Conditions
  • Office work is performed primarily between 8:00 a.m. and 4:30 p.m., Monday through Thursday.
  • This position is eligible for a hybrid work arrangement in accordance with Saulteau First Nations policies and operational requirements.
  • Regular in-person attendance is required for meetings, policy development activities, community engagement, and other operational needs.
  • Some flexibility may be required to attend meetings, workshops, or community engagements outside regular working hours.
  • Travel may be required within the Saulteau First Nations community and surrounding areas.
  • Work is performed in both an office environment and an approved remote work environment, with regular use of computers and other office equipment.
  • Occasional lifting of files, supplies, and office materials may be required.
  • Wage Range: $32.58 to $37.46 / Hr
