Role Description
The Track Admin Assistant will be responsible for the processing of timely and accurate timekeeping within the Track system to ensure daily deadlines set out by the client are met.

Principle Accountabilities:

  1. Allocating hours to one or more given charge codes per day.
  2. Work closely with contractors to ensure they are following the given procedures and resolve any discrepancies promptly.
  3. Submit overrides for any exceptions such as missing gate logs, or offsite work.
  4. Process any ad-hoc charges.
  5. Work closely with the on-site client Track administrator to notify and submit documentation not limited to such things as new starters, schedule changes, salary changes and PO spending.
  6. Maintenance of the Track system to ensure timely line manager approvals and correcting any rejected allocations.
  7. Assist the payroll department by providing reconciliation and man hour reports to ensure accurate payments to contractors.
  8. Assist the billing team to help resolve any discrepancies.
  9. Submitting fully authorised time to the client’s AP department to submit to SAP to process payments.

Skills, Knowledge, and Experience:

  1. Fluent English.
  2. Intermediate knowledge of Excel.
  3. Be able to work in a fast-paced environment and handle multiple tasks simultaneously.
  4. Highly organised and detail oriented.
  5. Be able to meet deadlines.
  6. Forward thinking to improve processes and efficiency.
  7. Be comfortable engaging with various people with differing levels of authority.
