Position Summary:
We are seeking a highly organized Remote Third-Party Liability (TPL) & Medical Records Specialist with strong Epic EMR experience to oversee lien and settlement tracking, process medical record requests efficiently, and proactively manage TPL cases. This role is pivotal in ensuring maximum revenue recovery from third-party claims, while maintaining the highest standards of compliance and confidentiality — all within a dynamic remote work environment.
Key Responsibilities:
Third-Party Liability (TPL) & Lien Management:
- Proactively identify new and existing TPL cases through Epic EMR, insurance portals, legal systems, and attorney correspondence.
- Prepare, issue, and monitor lien letters for personal injury, auto accident, and other TPL cases.
- Track case statuses in Epic and coordinate timely updates regarding settlements, dismissals, or denials.
- Communicate effectively with attorneys, insurance companies, and adjusters to secure case progress updates.
- Maintain comprehensive and up-to-date TPL documentation and outstanding balances within Epic EMR.
- Ensure compliance with all relevant federal, state, and payer-specific TPL billing regulations.
- Assist with subrogation claims and reimbursement processing from health insurance providers.
Medical Records Management:
- Accurately process, track, and fulfill medical record requests from legal representatives, insurers, government entities, and patients.
- Use Epic EMR to retrieve, review, and securely transmit medical records, ensuring strict adherence to HIPAA and state privacy regulations.
- Identify and prioritize relevant patient cases from Epic and other platforms to guarantee completeness and accuracy of records provided.
- Manage subpoenaed records and legal requests with professionalism and confidentiality.
- Maintain detailed logs and tracking tools to meet all deadlines for records release.
- Address inquiries regarding record requests, applicable fees, and processing timelines courteously and promptly.
Qualifications & Skills:
- Required: Minimum 2 years of experience in medical records, revenue cycle, or TPL case management — ideally within orthopedics or personal injury.
- Technical Expertise: Proven proficiency with Epic EMR is essential, along with Microsoft Office (Excel, Word, Outlook) and insurance portals.
- Compliance Knowledge: Solid understanding of HIPAA, PHI privacy laws, medical records handling, and TPL/subrogation processes.
- Organizational Skills: Exceptional attention to detail for tracking multiple cases, deadlines, and compliance requirements.
- Communication: Strong written and verbal communication skills for interacting with legal teams, adjusters, and healthcare providers.
- Problem-Solving: Ability to identify and resolve claim disputes and ensure timely, compliant records processing.
Preferred Qualifications:
- Prior experience in healthcare collections, personal injury billing, or legal claims handling.
- Familiarity with lien processing, workers’ compensation, and auto insurance workflows.
- Certification in Health Information Management or Medical Records (e.g., RHIT, CPC) is a plus.
