We are seeking a bilingual Executive Secretary for a Video Production Company and Customer Service. This multifaceted role combines administrative, communication, and management support skills, with a strong command of languages. Below are the key competencies, responsibilities, and differentiators for this position:
- Customer Service
Reception and greeting of clients (in person, phone, online), managing relationships, following up on demands, and ensuring positive experiences. Support for events, recordings, meetings, and visitor reception. - Administrative and Operational Support
Managing executives' schedules, organizing meetings and external commitments, especially with international clients. Coordinating domestic and international travel (tickets, accommodation, logistics). Preparing, translating, and sending contracts, proposals, scripts, and schedules in Portuguese and English. Organizing and updating digital and physical files. - Bilingual Communication (Portuguese/English)
Simultaneous or consecutive translation during meetings, calls, and projects. Drafting and reviewing bilingual emails, presentations, scripts, and documents. Providing clear and confident phone and in-person service to international clients. - Production Support
Acting as a liaison between the production/video team and clients, clarifying technical or logistical doubts. Managing demands related to recordings, location bookings, studios, equipment, and suppliers. Monitoring project deadlines and delivery schedules. - Ideal Profile and Soft Skills
Proactivity, diplomacy, ability to work under pressure, excellent organization, attention to detail, discretion, clear and empathetic communication in both Portuguese and English, versatility, quick learning of audiovisual tools (e.g., Trello, Google Workspace, video software).
This is a remote position with external attendances as needed. Working hours are Monday to Friday, 09:00 to 18:00.
Minimum Requirements
- Previous experience as secretary or executive assistant
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook)
- Experience with CRMs, ERPs, or scheduling/booking systems
- Familiarity with videoconferencing platforms (Zoom, Teams, Google Meet)
- Knowledge of tools like Trello and Google Workspace
- Advanced English (speaking and writing)
